**Job Description**:
Duties and Responsibilities:
Provides reception and clerical support for the Design Studies Department:
- Handles general inquiries. The incumbent provides information on program information, College policies and procedures, structure and services;- Creates distributions list of faculty each term;- Orders and ensures that office supplies are maintained;- Coordinates meetings for the Chair, Manager, faculty and other staff, books meeting rooms, updates on-line agendas of invitees and, on occasion, attends meetings to record notes;- Create important date document each term, populate Chairs calendar with dates;- Word processes and distributes meeting notes on occasion, prints and copies various forms, handouts and other documents as required;- Accesses appropriate departmental forms as required;- Responsible for new faculty set up, create mail slots/folders, order name badge orders & phone extensions, etc.Assist in the administration of various academic related processes:
- Process course drop/adds on the student information system;- Sets up E&P meetings for all programs;- Facilitates and tracks all E&P meetings results;- Awards and bursary processes and events;- Set up program councils, take minutes at meeting and distribute final minutes to Chair, coordinators, and class reps;- Distribute part-time status report and grad status reports to coordinators;- Complete and distribute conditionally registered student reports from RO; Distribute the reports and then either withdraw or register students.
Portfolio submissions:
- Registers and tracks all portfolio submissions;- Responds to inquiries regarding portfolio submissions and important deadlines;- Works with Coordinators and the RO to ensure a smooth process.
Assist in the administration of various operational processes in support of faculty and students:
- Textbook orders;- Grade changes;- Exemptions;- Student reps;- Brightspace access.
Other duties such as:
- Act as back up for other Faculty support staff as needed;-
- Assist with the withdrawal or registration process for students.
Required Qualifications:
- Two (2) year diploma or equivalent in a business related program;- Minimum of three (3) years of experience: senior clerical experience in service clients;- Excellent listening and interpersonal skills;- Demonstrated experience in MS Office;- Proven analytical and problem solving skills;- Demonstrated experience working with a variety of clients.
