Under the Direction of the Executive Director, accountable to the Board of Directors and on behalf of MOPIA, the Administrative Support Officer will support a productive, efficient, innovative and positive office environment for MOPIA. The person will function as a primary office administrator and in the absence of the Executive Director, ensure the office operates professionally and efficiently. This is an 8 week summer position, with a possibility of extension depending on the funding available. MOPIA offers a flexible work schedule and professional work environment. The position is ideally suited to someone who may be in university studying (or graduated) in the environmental sector as the position would benefit from an individual with an interest and background in environment. An outgoing personality and very strong communication skills is an asset for this position when dealing with stakeholders and adding to the workplace as a whole. MOPIA is willing to train the right person for this emerging position. This is extraordinary mentorship opportunity for someone to gain insight into the national and international context of climate change and ozone depletion. Many new work experiences will be presented from speaking to stakeholders, learning new stewardship strategies, policy and regulation review as well as networking with senior government authorities, among others.
- **Principle Duties**:_

❖ Review relevant documents including online newspapers, magazines, extensive internet and other sources for information relating to Ozone Depleting Substances, Climate Change issues and

Environmental Legislation that may affect MOPIA;
❖ Assist in the planning and coordinate international capacity building opportunities for training, technology and regulatory development;
❖ Coordinate stakeholder initiatives, with direction from the Executive Director;
❖ Provide administrative functions including preparing correspondence, mail, stakeholder packages, as directed;
❖ Photocopying, faxing, filing, receiving, opening and distributing mail;
❖ Responsible for greeting and answering callers/visitors, customers, stakeholders and responding to inquiries, both verbal and written;
❖ Ability to use a credit/debit machine for customer/stakeholder transactions.

❖ Receive and document daily cash flow for MOPIA;
❖ Provide guidance and research information for members as directed by the Executive Director;
❖ Maintain the database of technicians, company permits, corporate membership, technician records and leak report submissions;
❖ Assist in the coordination of meetings, including arranging and distributing agendas, notifying participants, preparing meeting materials, arranging travel particulars etc.;
❖ Assist in the coordination and successful delivery of special projects such as ozone and climate program awareness seminars and other meetings;
❖ Arrange for environmental awareness training sessions as required and the necessary correspondence with the participants;
❖ Participate and assist at special environment related events, from time-to-time;
❖ Be willing to dialogue and interact with new stakeholders including presentations or training;
❖ Acquire quotes for various projects, meetings and seminars as required;
❖ Be receptive to learning and acquiring new computer skills relevant to work duties;
❖ Maintain office inventory as required;
❖ Assist in the preparation of promotional pieces (newsletters and other informational items);
❖ General cleaning (dusting, tidying, vacuuming) of offices to maintain a clean atmosphere;
❖ Provide operational direction and supervision to temporary part time and summer employees;
❖ Maintain personal knowledge through continuous improvement and training (i.e. computer, administrative);
❖ Follow-up on outstanding or overdue accounts;
❖ Perform other related duties as assigned.

This is a full-time work opportunity estimated at 35 hrs per week.

Generally, between 8:00 am - 5:00 pm daily.

Two fifteen minute breaks during a full work day. One 30 minute paid lunch break if working an 8 hour shift.
- **Rate of Pay**:_ **14.15 hr **(plus statutory vacation pay)
- **Paid Holidays**:_

Paid holidays include those identified by Manitoba Employment Standards and any in the MOPIA statutory agreement, and/or personnel agreement.
