Reporting to the Canadian Division Manager, this role will be responsible for providing administrative support and assistance to the management team, operations team, and other stakeholders. The Office Administrator will play a key role in ensuring effective and efficient support is delivered in a proactive and timely manner.

**What you will be doing our Office Administrator**:
**General**:

- Greeting and welcoming visitors to the office and ensuring they sign in the visitor's book.
- Monitoring and ensuring that the front office area is kept tidy and projects a professional image/reporting any problems as they arise.
- Answering phone calls and transferring them as necessary.
- In the event of a fire or any other emergency, directing staff to leave the building.
- Checking and signing for deliveries before informing the relevant staff of goods received.
- Managing the incoming and outgoing mail.
- Ordering office, kitchen, and workshop supplies as needed.
- Scanning, filing, and completing other administrative tasks that may assist the teams.
- Supporting with company events and communications.

**Administrative Support**:

- Supporting projects with information gathering, data entry, generating reports and other tasks as requested.
- Drafting, proofreading, editing, and distributing documents of varying complexity to internal and external stakeholders.
- Liaising on behalf of management with counterparts in other departments or stakeholders.
- Providing backup support for the Operations Coordinator in printing of orders.
- Offering onsite support for remote-based departments.

**Health & Safety Support**:

- Creating safety talks
- Taking minutes during Health & Safety Meetings
- Coordinating on projects with Workplace Safety consultant and other related duties as required

**What we are looking for in our ideal Office Administrator**:

- Strong attention to detail.
- Sound time management and planning skills.
- High-level of self-motivation, independence, and self-reliance.
- Knowledge of and experience with the use of Microsoft Office.
- Confident communicator on the telephone and in person.
- Common sense approach to problem-solving skills.
- Good attention to detail producing accurate information.
- Comfortable working with different levels of colleagues from manual, hands-on, workers to senior management.
- Proactive in seeking out ways to support the team.

**Desired Attributes**:

- Proven successful experience in a similar role.
- Previous experience in a manufacturing environment.
- Excellent skills with Microsoft Office.
- Understanding of health & safety.
- Understanding of fire safety.
- Knowledge of an ERP system ideally NetSuite.
