Join our growing team Since 2013, Jacqueline Tait Notary Public has provided notarial services for real estate transactions, estate planning, and other legal documents.

**Position Overview**

Support the team with general reception and administration duties and the Notary with some executive assistant duties.

**Key Accountabilities**
- Provide excellent customer service when greeting clients and answering inquiries.
- Receive, direct, and relay telephone calls and messages.
- Greet and direct couriers, clients, and visitors.
- Open and date stamp all general correspondence, scanning and saving to client files as required.
- Send and receive courier packages as required.
- Collect and enter client or stakeholder details and ensure the smooth flow of information when forwarding to appropriate staff.
- Manage the office calendar, schedule, and confirm client appointments.
- Maintain physical and electronic records by scanning, filing, and shredding.
- Maintain office supplies, ordering as needed.
- Attend to tasks, research, follow up, and other duties as may be requested by the Notary(s) or conveyance team.
- Minimum one year in a receptionist and/or administrative role in a professional setting.
- Experience in real estate transactions or working in a Notary, Lawyer, or realty office an asset.
- Proficiency in Microsoft Suite, Adobe, etc.
- Able to follow instructions both oral and written.
- Extremely organized and detail oriented.
- Excellent multi-tasking skills and ability to prioritize competing priorities while experiencing frequent interruptions.
- Excellent time-management skills with the ability to work well in a high-pressure environment.
- Able to work independently in the absence of direct supervision.
- Maintain a calm and collected demeanor when dealing with clients and stakeholders.
- Possess a strong attention to detail and high level of quality assurance.
- Reliable and able to commit to the position.

**Education**
- Post-secondary
- Consideration for LAA or other office management/reception programs

**Job Types**: Full-time, Permanent

**Salary**: $19.00-$23.00 per hour

- Monday to Friday

Supplemental pay types:
