The Alma Mater Society (AMS) is the University of British Columbia’s (UBC) student society, and works to improve the academic, social and personal lives of the 56,000 UBC students at its Vancouver campus. The AMS also runs nine food and beverage outlets, a catering and conference operation, and the AMS Student Nest, providing on-campus employment opportunities and generating revenue that goes directly back into supporting the students at UBC.

**Position title**: Conference Coordinator for the Student Union Development Summit (SUDS)
**Reports to**: Associate Vice-President, External Affairs
**Employee status**: Hourly Exempt, Appointed
**Length of term**: May 1, 2024 - August 31, 2024
**Hours per week**: May 1, 2024 - June 30, 2024: 10 hours per week
**July 1, 2024 - August 31, 2024**: 15 hours per week
**Compensation**: $18.00 per hour

The Position

The Conference Coordinator for the Student Union Development Summit (SUDS) will report to the Vice President (VP) External in the planning of the conference. The Coordinator will plan the logistics for the conference, coordinate all volunteers, and delegate tasks as they sees fit. They will oversee and lead the execution of the conference and act as a point person for delegates as questions arise before, during, and after the conference.

**Responsibilities**:

- Work independently and alongside the External portfolio in the planning of the conference
- Build strategic relationships with various campus, community, government, and business partners who support the conference
- Work with the VP External to research and book conference speakers/talent
- Work with Communications to develop a creative marketing campaign using online and in-person elements
- Organize a three-day conference schedule
- Onboard, support, and oversee volunteers to assist with day-of execution of tasks
- Respond to conference attendee inquiries and needs in a professional way and ensure all attendees are provided with the necessary information on expected behavior during the conference
- Oversee and lead the events during the conference
- Collaborate with the AMS Executives to ensure all components of the conference (from workshops to social events) align with the AMS mission statement and bring value to visiting student union leadership
- Must be cognizant of accessibility and safety needs and proactively plan ahead for those who need it
- Build on current safety management strategies to ensure the comfort and safety of attendees
- Develop a system to intake feedback from attendees and create recommendations for implementation in future years
- Other duties as required

Qualifications and Experience
- Must be a currently registered student at UBC Vancouver or one of its affiliated colleges
- Must have in-person event planning experience
- Able to develop a budget and stay on target
- Past experience or involvement in campus-related leadership initiatives is an asset
- Independent, self-motivated, goal and results oriented, and reliable
- Demonstrated examples of leadership skills
- Able to work flexibly, adapting to the different needs, timelines, and limitations of the conference
- Able to meet deadlines and work well under pressure
- Strong public relations, communication, teamwork, and organization skills
- Strong strategic and critical thinking skills
