Job Description Summary

Provides guidance and assistance to the Director of Academic Programs, Administration and Facilities and approximately 150 graduate students and 150 undergraduate students. Responsible for management of:

- Undergraduate and graduate student programs, curricula and student activities within the Department;
- Department accreditation from the Canadian Engineering Accreditation Board (CEAB).
- Community and industry engagement and student recruitment activities.
- Systems and processes to support students and programs

The Department of Chemical and Biological Engineering at UBC has an established worldwide reputation for its accredited undergraduate degree programs, innovative research and the quality of its graduates and faculty. The Department offers two undergraduate programs leading to B.A.Sc. degree program students and graduate programs leading to M.Eng., M.A.Sc., M.Sc. and Ph.D. degrees. The Department raises about $6 million annually from national and international government and private sector research granting agencies.

Organizational Status

This position reports to the Director Academic Programs, Administration and Resources and will also work closely with the Department s Head, Associate Heads and faculty members. This position liaises with the APSC Development and Alumni Office, APSC Co-op and Professional Development and Engineering Student Services Office, UBC Faculty of Graduate and Postdoctoral Studies (G+PS).

Work Performed

Recruitment:

- Develops and creates advertisements and brochures for graduate and undergraduate student recruitment.
- Designs and delivers Department outreach activities including open houses, community outreach and events or activities related to recruitment of undergraduate and graduate students.

Graduate Student Management:

- Manages processes for graduate student inquires and admissions including providing information to prospective students regarding program requirements, immigration and employment documentation and English requirement standards, evaluating transcripts and verifying admissibility of prospective students.
- Responsible for tracking and monitoring graduate student progress.
- In consultation with Graduate advisors, adjudicates student files for graduation.
- Manages graduate student database and reports graduate program statistics to faculty.
- Resolves students issues in consultation with advisors and G+PS.
- In coordination with Graduate Advisors develops policies and procedures to manage student programs in compliance with G+PS.
- Manages and processes graduate stipends, graduate academic assistantships and Teaching Assistantships.
- Ensures student documentation such as requests for leaves, examination results are processed and forwarded to G+PS in a timely manner.
- Manages databases, documents and files to support student progression through programs.

Undergraduate Student Management:

- Advises undergraduate students on courses sequencing and requirements for graduation.
- Works closely with advisors and ESS to resolve complex student issues.
- Manages student ranking and assists faculty in student awards processes.
- Manages student adjudication for progression and graduation.
- Creates and manages student databases.
- Collaborates with advisors to implement curriculum changes.
- Manages student industry field trips in collaboration with students.

Undergraduate Student Graduate Attributes and Accreditation:

- Designs and delivers systems to manage CHBE data (course graduate attributes and accreditation units) for CEAB accreditation. Responsible for data reviews and analysis, writing reports, and recommending improvements to the Department s undergraduate programs.
- Develops and implements initiatives to improve and streamline CEAB data collection and analysis systems.
- Develops and implements system to forecast the impact of curriculum changes on attribute and AU data.
