**POSITION**
We are currently looking for a talented individual to support our team, receiving customers requests and performing accounts receivable tasks. The Administrative Assistant/ Receptionist primary role is to support the project management teams to achieve our key performance indicators in accordance with the insurance companies and Paul Davis' required protocols. They provide exceptional customer service and make sure we effectively manage our accounts receivable.
**MAIN ROLES AND RESPONSIBILITIES**
- Provides reception duties and assists customers to determine needs while providing excellent customer service over the telephone.
- Maintains excellent customer relations to detect and resolve issues and concerns.
- Manages receivables and prepares monthly accounts receivable statements.
- Manages Equipment Tracking entries and ensures the correctness of the Customer Responsibility Forms.
- Opens and distributes mail in a timely manner.
- Manages and maintains all filing systems in the office.
- Plans work priorities and oversees all administrative functions of the office.
- Handles filing, typing, record keeping, etc.
- Manages office supplies.
- Job closings.
- Updates Paul Davis Call Routing and local Adjusters with on-call changes each week.
- Sends material samples for validation.
- Issues invoices.
- Delegates new assignments to project management team, creates job files and enters the information in various computer programs.
- Other duties as assigned.
**DESIRED SKILLS AND TRAITS**
- College Diploma in Business Administration or related areas.
- 2 years previous experience with customer service.
- 2 years previous experience with administrative duties.
- Experience with Accounts Receivable is an asset.
- Knowledge of business practices and management techniques.
- Ability to handle and resolve recurring problems.
- Ability to establish priorities, work independently and proceed with objectives with mínimal supervision.
- Excellent communication skills (verbal and written).
- Investigation/problem solving skills.
- Time management/budget management.
- Detail oriented.
- Organization/multitasking.
- MS Office (Excel, Word, Outlook, Teams).
- Ability to lift 25 lbs(filing).
- Available to work overtime when necessary.
