Job Summary

Organizational Status

The Global Health Initiative (GHI) Research program is a UBC student-led initiative involving students from a diverse range of backgrounds including Medicine, Dentistry, Arts, Science, Journalism, Engineering, Food and Nutritional Sciences, and Midwifery. GHI seeks to enhance global health education and provide hands-on skills training to UBC students via a series of monthly skill-building

workshops
- GHI also offers students the opportunity to participate in several global health projects in India, Nepal, Kenya, Taiwan, Bhutan and Canada. Further, GHI is working with faculty to develop core competencies and learning objectives that will be used to drive future curriculum development related to global health. Many students involved with GHI are also carrying out research projects and publishing their findings.

The Research Program is led and supported by Dr. Visesh Kapoor, Clinical Associate Professor in the Department of Family Practice, Faculty of Medicine.

Work Performed- Supports and assists faculty members on day-to-day operational and finance activities (i.e. spending down accounts, accounts nearing their end date) by liaising with funding groups and other external agencies.- Monitors and reconciles complex accounts (Research, Specific Purposes and GPO) by reviewing PG balances, tracking commitments and incoming funds.- Resolves over-expenditures of research grants by liaising with researchers to discuss options.- Prepares budgets and extracts and prepares financial data for reporting purposes.- Interprets and ensures adherence to specific policies with respect to UBC policies and granting agency policies and ensures they are correctly applied.- Prepares and/or reviews PO invoices to ensure compliance with contract terms and adequacy of supporting material, and works with Payment & Procurement Services to resolve discrepancies.- Prepares, reviews and processes requisitions, travel claims and journal vouchers, verifies accuracy of information including account coding, reviews backup documentation and processes and records information into the OPT system related to accounts payable or to revenue accounting.- Prepares bank deposits, manages petty cash, reconciles UBC Visa cards (PCard & UBC Visa).- Prepares, verifies and processes paperwork related to student appointments, reappointments, account changes, salary increases, etc. within the research program.- Ensuring sufficient funding, troubleshoots issues related to appointments such as workflow errors and missing pay.- Other related duties as required.

Consequence of Error/Judgement

This position is required to exercise considerable tact, discretion and initiative in the performance of duties. Errors in judgement and poor customer services will result in significant financial and reputational losses. A high level of security and confidentiality is required in all financial transactions. Payment delays can result in poor relations with supplies/vendors. Errors could result in inappropriate financial management decisions being made and errors on Workday, which will impact research results, and impact future funding to the program.

Supervision Received

Working independently under mínimal supervision, this position reports to the Clinical Associate Professor and Investigator of the Global Health Initiative (GHI). The position occasionally consults with other senior leaders, faculty, and staff as required.

None, but may oversee Work Learn student(s) and train other staff as required.

Minimum Qualifications

High school graduation, plus two-year post-secondary diploma in accounting, plus three years of relevant accounting experience, or an equivalent combination of education and related experience.
