**Position Summary**

The Human Resources & Corporate Services Assistant supports KCHC Corporate Service activities, including human resources, student and volunteer programs, and organizational initiatives. The incumbent works directly with other members of the Human Resources and Corporate Services Team, management, and staff to support smooth and efficient processes within the Centre. The Human Resources & Corporate Services Assistant provides exceptional customer service and works proactively to identify service improvement opportunities.

**Key Responsibilities - Detailed Responsibilities**

**Human Resources**
- Updates job descriptions, templates, and other HR documents in partnership with the appropriate team and staff members.
- Assists in all aspects of employee recruitment and onboarding (e.g., job posting, scheduling interviews, reference checks, orientation coordination).
- Assists in the offboarding of employees.
- Drafts employment letters, memos, reports, and other materials, as required.
- Ensures all personnel and other related filing systems (electronic and physical) are accurate and up to date.
- Maintains schedule of performance management processes, documentation renewals, and various trainings.
- Assists in organizing and evaluating organizational training.
- Assists in gathering and tracking key targets related to human resources, corporate activities, and organizational measures.
- Maintains working knowledge and aptitude of all Human Resources Information Systems.
- Supports various HR projects and initiatives.
- Provides administrative support to the department and organizational committees (e.g., Occupational Health and Safety and Personnel Policy Committees).
- Identifies and escalates issues that may pose a risk to the organization.

**Student & Volunteer Programs**
- Assists in the implementation and evaluation of the programs.
- Supports the development of volunteer position descriptions.
- Supports the administration of the job shadowing program.
- Remains current on volunteer program best practices.
- Supports student and volunteer recruitment efforts.
- Coordinates orientation and offboarding.
- Maintains accurate files and databases.
- Organizes volunteer recognition events.
- Produces reports for leadership and funders, as required.

**Corporate Administrative Support**
- Supports reception activities.
- Supports the administrative efforts required for all staff events.
- Supports accreditation activities.
- Assists with room bookings and the execution of organizational events.
- Supports the organizational risk and legislative requirements (e.g., HIROC, Accessibility for Ontarians with Disabilities Act).
- Supports administrative functions associated with staff training and development.
- Facilitates internal and external mail processes.

**Organizational Responsibilities**
- Complies with all relevant legislation and KCHC policies, including privacy laws.
- Commits to acquiring an understanding of the importance of trauma responsiveness and the impact of Adverse Childhood Experiences (ACEs).
- Commits to demonstrating an ongoing commitment to Equity, Diversity, Inclusion, Indigenization and Accessibility (EDIIA) by representing the diverse nature of our communities, promoting, and practicing inclusion.
- Supports KCHC’s student and volunteer placement programs.
- Promotes awareness of and participation in KCHC activities.
- Demonstrated commitment to continuous learning and quality improvement.
- On occasion, perform other duties, as required.

**Basic Education and Experience Requirements**
- Post-secondary diploma in a related discipline (e.g., human resources, office administration).
- Completion of Human Resources courses, an asset.
- Certification in Human Resources, an asset.
- Experience working with volunteers, an asset.

**Knowledge, Skills, and Abilities**
- Knowledge of Human Resources and familiarity with and ability to support employment related legislation (e.g., Employment Standards Act, Occupational Health & Safety Act)
- Awareness of, and ability to support provincial and federal privacy regulations.
- Demonstrates appropriate attention to detail and strong time management skills.
- Proficient computer skills including MS Office (Word, Excel, PowerPoint and Outlook).
- Able to organize and multitask while maintaining accuracy.
- Able to perform all duties in a confidential and ethical manner.
- Proven ability to successfully deal with challenging, competing, and changing priorities.
- Excellent interpersonal skills and communication skills.
- Strong analytical, problem solving, and administrative skills.
