Job Summary
This position is responsible for leadership and policy development for student services in close consultation with the faculty academic leadership to support its students' academic and personal development. This is accomplished through student support systems and procedures, including admissions, appeals, academic scholarships and awards, student records and graduation requirements, course scheduling and timetabling, advising and mentoring, recruitment and retention, and student development. The Manager, Student Services serves over 530 undergraduate students, over 275 graduate students, and the first year and prospective students interested in Civil Engineering.
Primary functions include advising for complex student cases in the Civil Engineering program; graduation adjudication; management of student teams and chapters; management of international exchange and the Coordinated International Experience program; management of course scheduling and timetabling for all degree programs; implementing the Department’s recruitment and outreach programs for students, and for planning and executing special events for students. Oversees the organization, coordination, safety and operation of the Civil Engineering teaching labs. The position also supports the development and administration of the Graduate Attributes Process for accreditation of the undergraduate Civil Engineering program.
The incumbent typically works a standard day; however, flexibility is required as some responsibilities require an irregular schedule, including evenings or weekends.
Organizational Status
This position reports to the Manager of Business Operations. Works closely with the Associate Heads, Program Coordinators, and MEL Program Directors, Curriculum Committee Chair and Faculty Advisors on matters relating to their specific initiatives.
In addition, the Manager liaises with a wide variety of UBC and external units, other educational institutions, outreach and professional groups, as well as the general public in the execution of duties.
Work Performed
Provides leadership in developing and enhancing comprehensive student services across all graduate and undergraduate programs. Responsible for developing evaluation methodology to determine the effectiveness of advising and admission policies and procedures in support of the department's goals and objectives for undergraduate and graduate programs. Develops improvements in, or creation of, policies and procedures to improve services to students and establish priorities within existing resources.
Management of Student Services Team
Oversees the operations of the Student Services Office to ensure effective service to students and achievement of departmental and institutional objectives.
- Reviews day to day work of the team (offer letters, scheduling of departmental oral exams, registration issues, room booking requests).
- Responsible for hiring, training, mentoring, and disciplining staff. Conducts annual performance reviews with all direct reports.
- Develops and implements strategies and administrative staff training initiatives to ensure effective staff orientation, team building, and ongoing development. Coaches staff on development within and beyond their present positions.
Graduate and Undergraduate Student Advising
- Develops, evaluates, and manages the departments’ academic advising policies, procedures, programs, and projects. Develops and implements administrative processes for improving the effectiveness of the student services unit.
- Advises prospective students on available academic programs and research opportunities within the department.
- Advises current students and faculty supervisors on a range of academic and relevant non-academic matters, drawing upon an in-depth knowledge of departmental and university policies and procedures.
