Job Title: Real Estate Assistant
Location: Victoria, BC
**Job Type**: Part Time - 6 - 10 hours per week with potential to grow.
Position Overview:
Key Responsibilities:
- Assist Realtor with day-to-day administrative tasks, including scheduling appointments, managing calendars, and handling communications.
- Prepare and organize documents for property listings, offers, and contracts.
- Conduct market research to assist agent in pricing and marketing properties effectively.
- Maintain and update client databases and property listings on various platforms.
- Coordinate property showings and open houses, including setup and follow-up communications with clients.
- Handle inquiries from clients, prospective buyers, and other real estate professionals in a professional manner.
- Assist with social media marketing and promotional activities to enhance the realtor’s online presence.
- Provide general support to the realtor as needed, including assisting with paperwork and transaction coordination.
- Create & manage all systems for sellers, buyers, client database management, lead generation tracking, lead follow-up & all office administration.
- Maintain agents financial systems, profit & loss statement, bill payments, budget(s), and business credit card(s).
- Prepare all listing materials: pre-listing presentation, Listing Agreement, sellers’ disclosures, pull online property profile, research old multiple listing service (MLS) listings and etc
- Proofread all necessary signatures on contracts, disclosures and other necessary documentation. Submit to Brokerage to ensure compliance.
- Input all listing information into MLS and marketing websites and update as needed
- Input all necessary information into client database and transaction management systems.
- Input all client information into client database management system. Schedule 30 Day, 90 Day & 120 Day client customer service follow up touch points.
- Create and prepare buyer & seller consultation packages
- Coordinate the preparation of newsletters, listing & open house flyers, graphics, signage and all other marketing materials.
- Manage & update agent website(s), blog(s) and online listings.
- Regularly assist agent to manage & enhance agent’s social media presence.
Qualifications:
- Previous experience in real estate or a related field is preferred but not required.
- Strong organizational and time-management skills.
- Excellent written and verbal communication abilities.
- Proficiency in Microsoft Office Suite and familiarity with real estate software (e.g., MLS, CRM tools) is a plus.
- Ability to work independently and as part of a team.
- High level of professionalism and attention to detail.
**Job Type**: Part-time
Pay: $30.00 per hour
Expected hours: 5 - 10 per week
