Aquilini Group (“AG”) is a diversified family business founded in Vancouver, BC more than 50 years ago with roots in the real estate development and construction industry. Today the company owns and manages an international real estate portfolio that includes commercial and residential properties, hotels, golf courses, vineyards and blueberry and cranberry farms. In addition to its ongoing pursuits in real estate development and construction, AG has expanded its holdings to include assets in the sports and entertainment, renewable energy, aquaculture, tourist attractions, restaurants and food and beverage industries.
**JOB SUMMARY**:
Based out of our head office in Vancouver, BC, the Property Administrator, Commercial provides professional day to day support for our commercial property portfolio in British Columbia. Reporting to the Property Manager, this role will assist in supporting the daily operations of all commercial properties, providing excellent attention to detail and strong knowledge of daily operations. The Property Administrator, Commercial will be exposed to all areas of commercial property management.
**ESSENTIAL DUTIES AND RESPONSIBILITIES**:

- Support the Commercial Property Management Group.
- Administer the property management database system including data entry, rent billings and processing payments.
- Draft, distribute and track a variety of tenant related correspondence and building notices.
- Work with the Property Manager and Accounting on invoicing, electronic payments, month end, rent rolls, tenant ledgers, leases and other key documentation.
- Make sure all operations files, tenant emergency contacts, insurance certificates, and service contracts are up to date
- Generate and file weekly and monthly reports, including AR.
- Process and enter tenant service requests, building maintenance requests, and coordinate and communicate with tenants.
- Deposit cheques, create chargebacks, credit notes and purchase orders as needed.
- Update management weekly on arrears and delinquency status of tenants.
- Contact tenants regarding outstanding rent payments.
- Liaise with executives, management, accounting, finance and other key departments and personnel.
- Complete other administrative and office duties as required.
**REQUIRED EXPERIENCE AND QUALIFICATIONS**:
- Minimum 2-3 years’ experience in property management administration in a commercial environment.
- Post Secondary Education preferred.
- Computer skills (MS Word, Excel, Outlook) and experience with Yardi.
- Strong administrative skills with a keen attention to detail and numbers, and strong time management
- Ability to be highly organized and multi-task in a detailed-oriented office environment.
- Knowledge of general building maintenance and building systems an asset.
- Positive and professional attitude.
- In office position, 5 days per week.
