The Executive Support Specialist will work closely with executive leadership, coordinate team activities, and manage internal project workflows to ensure tasks are completed efficiently and accurately. This role is pivotal in acting as the link between the executive team, internal staff, and clients. It requires strong organizational skills, attention to detail, and effective communication abilities.
- **Key Responsibilities**:_

Executive Coordination:

- Assist executives with scheduling, meeting organization, and communications.
- Act as the primary point of contact for executive communications with internal teams.
- Facilitate smooth collaboration between executives and team members.

Project Coordination for Internal Teams:

- Act as the internal project coordinator to ensure that team tasks are clearly communicated and tracked.
- Follow up with internal teams to ensure project milestones are met.
- Coordinate resources, schedules, and updates for internal projects, ensuring alignment with executive directives.
- Provide regular status updates to executives regarding team progress and task completion.

Client and Team Coordination:

- Serve as a liaison between clients and internal teams, ensuring clear and consistent communication.
- Maintain ongoing contact with clients to address their needs and expectations.
- Facilitate smooth handoffs between teams and clients for deliverables and updates.

Administrative Support:

- Organize and maintain documentation, files, and records.
- Schedule and prepare materials for meetings, ensuring efficient execution.
- **Qualifications**:_

Education & Experience:

- Bachelor's degree or college diploma in a relevant field is required.
- Minimum of 5 years of experience in executive support, project coordination, or a similar role.

**Skills**:

- Excellent verbal and written communication skills.
- Strong organizational and multitasking abilities.
- Proficiency in Microsoft Office Suite and collaboration tools (e.g., Slack, Microsoft Teams).
- Experience coordinating internal projects and ensuring deliverables are met.
- Detail-oriented with the ability to prioritize effectively and meet deadlines.

Additional Requirements:

- Must be able to commute to the North Vancouver office as required.
- Reliable and professional with a proactive work ethic.
- Ability to work independently and collaboratively within a team setting.

Key Details:

- This is a part-time temporary contract with the potential to transition into a full-time role based on performance and quality of work. The role starts with 20 hours per week and may increase after starting.
- The compensation for this position is $30-$35 per hour.
- Work hours are between 9:00 AM and 5:00 PM, with flexibility as needed.
- Client satisfaction metrics will be tracked to ensure quality service.
- Quarterly performance incentives are available to reward high-quality work and results.
