**Position Title: Property Specialist**
**Team and Location: Retail - Burlington, ON or Montreal, QC**
**Position Summary**:
The Property Specialist will play an integral role in the efficient operations of the department. The Property Specialist will be accountable to successfully manage, monitor, maintain and ensure accuracy of our national database of properties for all lease renewals, rent increases and decreases, property taxes, rebilling and facility maintenance. Working closely within the Properties team, the Property Specialist will initiate, manage, and see projects through to completion.
**Key Responsibilities**:
- Manage, monitor and maintain Properties National Database, highlighting critical dates, collaborating with Property Manager to assist with renewal negotiations as needed, monitoring progress and following assigned duties through to completion.
- Collaborate with key internal / external stakeholders to execute the Teams’ objectives with a focus on lease site health, critical lease dates and obligations, and assisting property managers with lease renewals using effective & accurate communication, acting as key point of contact to both internal / external stakeholders.
- Review of legal agreements to determine critical lease dates and obligations, accurate and timely entry of all new properties into Properties National Database. Monitor portfolio for overall lease site health.
- Work closely with Finance to monitor, track and process Landlord and Tenant lease payments, invoices, and account reconciliations.
- Track, reconcile & authorize payment of invoices for all Retail, Commercial & Corporate owned and leased sites.
- Communication with municipalities and property tax consultants for all property tax related matters.
- Build and maintain positive relationships with Landlords and Tenants by handling all questions and concerns (property, lease, finance, facility maintenance, etc.) in a timely and professional manner through to resolution.
- Manage Tenant Lease process from securing tenant to completion of all legal and physical site requirements.
- Ensure Tenants follow all rules, regulations and obligations outlined in Tenant lease agreements.
- Provide direction to Facility Maintenance on Landlord and Tenant lease responsibilities.
- Review of all incoming communication (verbal and written) and mail to determine priority, relevance, and applicable stakeholder notification.
- Provide reporting on an ad-hoc basis as requested by various internal stakeholders.
- Provide strategies and recognize opportunities to reduce costs while increasing revenue.
- Other duties, as assigned.
**Qualifications and Skills**:
- 3-5 years’ experience in Property Management, Commercial Real Estate or other related experience.
- Bilingual (French) is required
- Exceptional customer service and communication skills;
- Strong knowledge of understanding and interpreting legal agreements;
- Highly organized with excellent time management and the ability to manage multiple projects;
- Attention to detail and a high level of accuracy;
- A self-starter with strong interpersonal skills and the ability to work effectively with many levels of our organization;
- Experience with property management software (Lease Harbor) would be considered an asset.
- Demonstrates a positive, professional, and customer-oriented attitude about the company with co-workers, clients, and the public;
- Strong problem identification and resolution skills;
- Excellent written and oral communication;
- Proficient in Microsoft Office.
