Thomas Buick GMC is seeking a F&I Assistant to join our team

The Financial Services Assistant at Thomas GMC Buick Ltd. supports the Financial Manager and Sales Managers in all aspects of finance and insurance operations and documentation. This role ensures seamless customer experiences while maintaining compliance with regulatory requirements, including OMVIC guidelines. The Financial Services Assistant contributes to achieving department goals by streamlining processes, maintaining accurate records, and effectively communicating with internal and external stakeholders.

**Key Responsibilities**:
**1. Customer Support and Documentation**:

- Provide clear and concise explanations of financing terms, conditions, and insurance options to customers.
- Gather, verify, and submit all required documents to financial institutions and insurance providers in a timely manner.
- Maintain a welcoming, service-oriented approach when interacting with customers.

**2. Administrative Support**:

- Organize and maintain accurate financial records, ensuring all data aligns with OMVIC and dealership standards.
- Reconcile finance and insurance-related transactions daily.
- Coordinate with the Financial Services Manager to track and report key financial metrics.

**3. Compliance and Reporting**:

- Ensure all financial transactions adhere to OMVIC, federal, and provincial regulations.
- Monitor and update compliance-related documentation, including disclosure statements and sales contracts.
- Stay informed about changes in OMVIC compliance rules and communicate updates to relevant team members.
- Support regular audits to ensure adherence to compliance and dealership standards.

**4. Financial and Insurance Support**:

- Collaborate with the Financial Services Manager to develop sales strategies for finance and insurance products.
- Assist in preparing warranty and protection plan presentations for customers.
- Work closely with lenders and financial institutions to track loan approvals, rates, and terms.
- Upsell finance and insurance products by clearly outlining their benefits to customers.

**5. Communication and Teamwork**:

- Serve as a liaison between sales, finance, and service departments to ensure a smooth customer journey.
- Coordinate with sales associates to resolve any discrepancies in deal structures or paperwork.
- Provide training and guidance to new team members regarding compliance and financial procedures.

**Key Performance Indicators (KPIs)**:

- Timeliness: Ensure all financial paperwork is completed within dealership-specific timelines (e.g., 24-48 hours).
- Accuracy: Maintain an error rate of less than 1% in documentation submissions to financial institutions.
- Compliance: Achieve a 100% compliance rate with OMVIC regulations and dealership policies.
- Customer Satisfaction: Maintain a customer satisfaction score (CSI) of 90% or higher related to financial services interactions.
- Efficiency: Process an average of [X] financing deals per week/month with zero backlogs.

**Objectives and Key Results **(OKRs):
Objective 1: Enhance efficiency in the financial services process.

**Qualifications**:

- Previous experience in an automotive dealership setting is preferred.
- Familiarity with OMVIC regulations and compliance requirements.
- Strong organizational skills and attention to detail.
- Excellent communication and interpersonal skills.
- Proficiency with dealership management software (DMS) and Microsoft Office Suite.
- Ability to multitask and prioritize in a fast-paced environment.
