Reporting to the Director of Finance & Operations (DFO), the role oversees a team of Fulfillment Coordinators (FCs). You will oversee the daily operation of the Fulfillment Department, ensuring that people and processes are adequately supporting the needs of the business for both (a) inventory replenishment, and (b) order releasing, order fulfillment, and customer service elements of the Fulfillment Department. This will require that team members are following Standard Operating Procedures, that inventory program orders are shipped according to their respective requirements, timely handling of customer service requirements, as well as timely production or inventory replenishment orders.
What will you do?
- Detailed Sales Order entry (SO's);
- Careful release of orders (or portions thereof for non-ship-complete programs);
- Create packing slips, pick tickets and custom labels as required;
- Ensure all necessary steps are taken to effect all notifications required for Order Confirmations, Backorder Notifications, Shipping Notifications, and Substitutions, whether such notifications are automated, triggered by certain actions in NetSuite, or required to be sent manually, according to each program requirements;
- Create Item Masters for each SKU within NetSuite and web platform;
- Coordinate inventory replenishment, including issuing Purchase Orders (PO's) and ensuring production timelines are met;
- Obtain PO confirmation of quantities and pricing from vendors and review against submitted PO's to ensure accuracy;
- Follow up with vendors for proofs, pre-production samples (“pre-pro”) etc., as required for order;
- Send proofs to Account Managers (AM's) and/or Program Manager (PM) for approval, following up with AM/PM until approved;
- Send proof/pre-pro approvals to vendors once received from AM/PM, confirming vendors’ receipt;
- Ensure service standards levels are met (re: on-time shipping, problem resolution), noting that each customer program has unique service level requirements;
- Adhere to Order Entry Standard Operating Procedures and requirements as recorded in the TPS policies;
- Coordinate in-bound freight, import duties and/or brokerage for inventory orders;
- Coordinate out-bound freight as required;
- Ensure proper notes, communication, statuses and dates are recorded on all PO's and SO's for which you are responsible;
- Assist with coverage of absences in Fulfillment Department;
- Prepare and submit Customer reports as required;
Manager Duties - as Fulfillment Manager, you will oversee the department team members and their compliance with their duties, including:
- Directly manage, supervise and provide leadership and direction to the Fulfillment Team
- Inspire a drive for process improvement in each staff member by effectively communicating and executing individual and team goals;
- Maintain a dialogue with Account Managers/Directors to discuss business needs and concerns;
- Create and coordinate training schedules for new FC team members;
- Assist in creation and maintenance of FC Process Manual including Standard
