Full Time Fleet Coordinator
Monday-Friday, Dayshift
Under the general supervision of the Fleet/Facilities Supervisor, the Fleet Coordinator is responsible for assisting the Fleet/Facilities Supervisor with coordinating the support functions of the Fleet Unit which includes vehicle and equipment maintenance and repair. In addition, the Fleet Coordinator will be responsible for assisting/relieving the Facilities Coordinator with the ongoing building requirements at police facilities such as routine inspections, minor repairs, and service coordination.
Fleet Maintenance
Coordinate scheduled preventative maintenance for Fleet.
Coordinate unscheduled maintenance and repairs to fleet vehicles including:
Mechanical repairs
Tire repairs and replacement
Glass repairs, replacement & tinting
Vehicle decontamination
Motor Vehicle Collison repairs
Decal installation
Coordinate repairs to equipment within fleet vehicles including:
Emergency equipment repairs and replacement (E.g., emergency lights and siren controller)
Mobile radio repairs
Radar unit repairs
Mobile workstation repairs
Satellite/cell phone repairs
Liaise with Service Providers daily to schedule maintenance and authorize repairs.
Maintain spreadsheet for tracking all vehicle maintenance and repairs and monitor for unusual or frequent maintenance requirements.
Boost vehicles in accordance with training.
Source and purchase winter tires for all new vehicles.
Transport/shuttle vehicles as required.
Arrange for fueling and washing of vehicles as required.
Coordinate and monitor the routine interior cleaning of vehicles at Headquaters (HQ) and District Two (D2).
Complete minor cleaning of vehicles as required.
**Other Fleet Duties**:
Collect and scan Daily Pre-Trip Inspection Reports.
Check and record information from all vehicle whiteboards daily and update same throughout the day.
Peg out vehicles daily for required maintenance or repairs.
Maintain spreadsheet for tracking reported monthly vehicle mileage.
Track and replenish missing vehicle equipment in the HQ after hour lockers daily.
Replace expired items in mobile biohazard kits and mobile first aid kits as required.
Conduct the implementation of any new fleet equipment.
Coordinate and track department and/or rental vehicle arrangements for in town and out of town vehicle requests for employees pertaining to errands, meetings and special events.
Assist the Fleet/Facilities Supervisor with vehicle changeovers.
Coordinate and prepare for the decommissioning of retired vehicles.
Assign, track, and activate/deactivate fuel fobs to vehicles and replace when lost or defective.
Provide notification when City fuel pumps are not operational and update once they are repaired.
Activate/deactivate and track fuel PIN numbers for employees using the City’s fueling system.
Issue, replace, and maintain tracking system for green access pegs for obtaining vehicle keys to employees.
Assign, replace, and track GSPS gate cards to vehicles to access the secure parking compounds at HQ and D2.
Assign, replace, and track TDS parking transponders to vehicles.
Process and track parking tickets for Fleet vehicles for payment or cancellation.
Ensure all fleet invoices are verified and processed for payment.
Annual/Monthly/Weekly Fleet Duties
Conduct the annual update of all vehicle fire extinguishers.
Conduct the annual implementation of new insurance slips in the month of June.
Conduct the removal and return of Fleet vehicles from the underground parking area at HQ to facilitate the annual power washing of the parking lot.
Coordinate seasonal tire changeover for all vehicles twice annually.
Facilities
(Assist/Relieve the Facilities Coordinator)
Perform minor maintenance of Police Facilities, such as hanging pictures and small repairs as assigned.
Liaise with City maintenance personnel when required.
Assist with weekly AED inspection.
Assist with weekly cleaning of the hand cuff cleaning machines.
Assist with processing incoming Facilities tickets.
Assist with cutting and issuing keys as required.
Assist with lowering and raising the flag as required.
Additional Duties
Assign tasks to summer students, co-op students and Fleet/Facilities Assistants.
Relieve the Fleet/Facilities Supervisor as required during periods of absence.
Report any unusual circumstances to the Manager of Finance in the absence of the Fleet/Facilities Supervisor.
Perform various other duties as may be required to assist maintaining the efficiency of the Unit.
**Qualifications**:
Successful completion of Secondary School Education (Grade 12) or equivalent.
One (1) or more years of previous experience.
Experience with vehicle maintenance.
Good knowledge of office procedures and routines required through related experience.
Demonstrated proficiency on computer and various office software, including Microsoft Word and Excel.
