**Job Summary**:
**Fort Whyte Orthopedics** is seeking a **Surgical Office Assistant (SOA)** located in Winnipeg, MB. This role is responsible for facilitating the smooth functioning of surgical procedures and ensuring effective communication with patients and partner organizations. The SOA will manage surgeries, communicate with patients, handle billing tasks, and liaise with partner organizations such as hospitals and clinics. By efficiently managing their responsibilities, the SOA plays a vital role in ensuring the seamless support of orthopedic surgeries and effective communication with patients and external partners.
We are seeking an individual to join our team on a temporary basis. This role provides a unique chance to gain valuable experience and make a meaningful impact. This is a temporary position with potential for a permanent role based on performance and business needs.
Duties & Responsibilities Overview:
- Ensures correct scheduling of surgeries, adhering to the surgeon's preferences and availability.
- Communicates and coordinates with hospitals, clinics, and other medical facilities for surgery scheduling, addressing surgical queries, submitting documentation, and addressing concerns to ensure smooth surgical operations.
- Communicates and coordinates with hospitals to schedule surgical assistants for assigned physician.
- Handles cancellations and rescheduling of surgeries as necessary.
- Arranges specific locations for patients with special conditions like sleep apnea or obesity.
- Utilizes software systems like SWIM for booking surgeries, E-Chart for patient information, and Input Health EMR.
- Provides standard pre-operative paperwork and instructions to patients before their surgeries and coordinate electronic filing of paperwork with hospitals.
- Coordinates with doctors and other staff to fulfill patient needs and queries effectively.
- Reconciles billings for insurers such as Workers Compensation Board (WCB), Manitoba Health or Manitoba Public Insurance (MPI).
- Manages disputes and inquiries related to billing, from insurers or patients.
- Sets up patient records if new or updates if already have a record.
- May provide back-up at reception and other duties as needed.
Qualifications and Skills:
- High school diploma or equivalent with additional training or certification in medical assisting, surgical technology, or related field is preferred.
- Experience within a medical office with surgical booking procedures, patient communication, and medical billing processes is advantageous.
- Personal Health Information Act (PHIA) Certification is mandatory.
- CPR Certification is required.
- Proficiency in computer skills and relevant software (e.g., Input Health, Wild X, Google Docs).
- Experience with software to book patients such as Novari and imaging system such as Velox.
- Commitment to upholding ethical standards and patient confidentiality in handling sensitive medical information.
- Knowledge of medical terminology and administrative processes within a medical practice are an asset.
- Ability to collaborate effectively with surgeons, medical staff, and administrative personnel within the clinic and with external partner organizations.
- Organizational skills to manage patients and paperwork effectively.
