Front Office Administrator

The Front Office Administrator will act as the first point of contact for clients, visitors, internal and field staff, and other stakeholders both over the phone and in person upon their arrival to the office. Offering superior customer service skills as they triage telephone calls and visitors and while performing other clerical functions.

**Qualifications**
- Completion of post-secondary education is preferred. Completion of Medical Office Administration course or medical terminology training will be an asset
- Two years of administrative or office experience is required
- Advanced typing and software skills in Microsoft products are required
- Superior Customer service skills are necessary
- Ability to effectively communicate both through oral and written mediums in English - other languages may be an asset
- Demonstrates compassion, tact and diplomacy when interacting with clients and their families
**Responsibilities**
- Responds to and triages calls on a multi line telephone system
- Greets and welcomes visitors and directs them to appropriate staff
- Provides security to the office through the maintenance of the visitor and staff log in books
- Facilitates and receives courier services, including the preparation of outgoing mail
- Performs faxing, filing and photocopying as required for the purposes of collating manuals and other documents
- Orders and maintains office supplies
- Responds professionally and courteously to calls and electronic communication from funders, staff, clients and families
- Documents and appropriately reports and escalates complaints and incidents related to staff and clients
- Adheres to the ParaMed policies in all interactions with clients, families or other parties ensuring privacy and confidentiality.

The Front Office Administrator will exercise skills in office administration, time management and organizational skills while constantly striving to provide superior customer service to internal and external customers.
