Job Summary

The Office of the CIO (OCIO) has an extensive list of investment requests for IT enabled projects from across the University. The execution of the portfolio of projects extends out over at least the next five years, and new projects are being added to the pipeline on a regular basis. The execution of each project within the portfolio is approximately one year and most resources from each project will transition onto the next projects upon completion of the delivery of each project. The Program Delivery office is seeking a Change Management Specialist to support change efforts on one of the key projects in the pipeline called Enterprise Video Platform initiative.

The Change Management Specialist is responsible for all aspects of Change Management and Communication of large, multifaceted enterprise-level projects from original project initiation through to final implementation. The Change Management Specialist brings together people, process and technology to enable technology adoption that is a consequence of Business process improvements and digital transformations. The change management specialist is responsible for:

- Thoroughly comprehending both business processes and technology alterations to develop a change strategy that enables the creation of transformational change management communications and adoption plans for academic and administrative units.
- Collaborating with technical specialists and stakeholders to outline the plan of action for change management, leveraging basic understanding of technical SaaS products, and participating in meetings with technical specialists to draw out impacts to end-users while building a relationship of trust and establishing two-way communication channels with UBC IT Delivery Teams and Business Leads.
- Developing activities that support change and adoption, such as stakeholder analysis, technology adoption readiness and maturity, by defining personas, developing key messages, and measuring adoption efforts to support change efforts.
- Designing and developing training plans and materials in collaboration with technical teams and SaaS vendors for UBC audience, which may involve deconstructing business processes or technical jargon into bite-size job aids, extensive FAQs, and video content to ensure effective technology adoption.
- Drafting and editing communication materials to support initiatives that involve upgrades to UBC's digital assets while collaborating closely with internal and external communication teams across the university, and translating complex technical designs into easily consumable language that faculty and students, who may be non-technical, can understand

Organizational Status

Reporting to the Director of Communications and Senior PMO Delivery Manager, Office of the CIO, the incumbent works with other Senior Project Managers on the IT Capital Planning projects to ensure integration of Change Management and Communications activities across analysis, design, and development; deployment and post launch phases. The Change Management Specialist plans and develops strategy, tactics and communications related to areas of academic/business transformation across the university.

Works closely with a broad range of stakeholders, including UBC IT, senior academic and administrative partners from academic units, and external entities including vendors, regulatory agencies, and partner institutions.

Work Performed
- Champion the importance and benefits of change management to stakeholders and technical staff who may be unfamiliar with change management methodologies, and facilitate collaboration between teams to ensure effective change management processes.
