Manufacturing Administrator, 18 Month Term Position

The Manufacturing Administrator performs duties requiring initiative, independence, and confidentiality in project management, and other required areas. Daily responsibilities include, but are not limited to, managing timelines, starting jobs, job costing, invoicing, and other tasks necessary for the efficient operation of the organization.
This position is anticipated to be an 18-month term position, with the potential of extending to permanent employment.

**DUTIES & RESPONSIBILITIES**
Production/Manufacturing Duties
- Job administration including entering/closing jobs, posting costs, etc.
- Troubleshoot and manage jobs with the Production Manager’s guidance
- Prepare invoices
- Prepare shipping documents
- Receiving of purchase orders
- Monitor status of all jobs, update the WIP report, and keep Production Manager informed
File Management
- Update and manage job files electronically
- Understand units of measure to ensure that reasonable materials are posted to a job
- Understand how to read a metal cert as a means of identifying correct inventory items to be used
- Ability to search the inventory system and interpret various terminology to locate and assign the correct item number
Review jobs for completion
- Identify and review jobs for accuracy prior to submitting to Department Manager for review
- Report to Department Manager prior to closing the job to ensure receiving accuracy
- Monitor progress of common items and advise Department Manager of incomplete tasks
- Generate, review for possible change orders, and process invoices
- Assist with documenting ISO procedures, as required
- Document manufacturing-related processes
Other
- Perform accounting tasks efficiently in Global Shop, including order confirmations, purchase orders, billing, and all other accounting functions
- Assist the Engineering Department in managing their jobs, including but not limited to entering/closing, invoicing, and managing files
- Assist with inventory cycle counts
- Enter and submit daily timecards for payroll
- Participate in production meetings including preparing meeting minutes for distribution to attendees
- Perform other duties as required
**REQUIRED EDUCATION, EXPERIENCE & SKILLS**
- An Administrative Assistant certificate from a recognized business school would be considered an asset
- A minimum of 2 years’ experience is preferred but not required
- Understanding of machining/welding shop duties is an asset
- Knowledge of basic accounting
- Strong organizational and problem-solving skills
- Attention to detail with high level of numerical accuracy
- Ability to communicate clearly
- Ability to multi-task and prioritize jobs
- Ability to work well under pressure with time-sensitive deadlines
- Ability to work in a team setting
- Ability to maintain confidentiality
- Proficiency of MS Office including Word, Excel, and Outlook
- Knowledge of Global Shop would be an asset
