The **Business Administrator** performs duties requiring initiative, independence, and confidentiality in areas of business management, and other areas, as required. The Business Administrator works closely with the Business Manager and the Business Coordinator in managing the day-to-day tasks related to the efficient operations of the Northern Strands Group of Companies (NSGC).

**DUTIES & RESPONSIBILITIES**
General Administrative Duties
- Provide additional administrative support to the Business Management team and other departments/committees
- Produce documentation and spreadsheets
- Create and maintain electronic filing systems
- Prepare meeting rooms, meals, and other logistics for outside clients
- Order and maintain appropriate levels of office and canteen inventory
- Update internal phone directories and extension list
- Ensure printer/copier stations are adequately stocked with paper supplies
- Oversee office plant care and maintenance

Building Management
- Organization of general building and storage spaces
- Manage receipt and stocking of office supplies
- Review security footage and maintain confidentiality in completing security spreadsheets
- Parking program maintenance
- Renew SGI registration of all vehicles operated by the Group of Companies and update the vehicle database

Employee Assistance
- Assist with new employee set up (i.e., IBC phone, messaging system, Webex, name plate, parking assignment, etc.)
- Act as first point of contact for employee cell phone programs

Backup Reception Coverage
- Greet all visitors and customers in a professional manner
- Answer all calls and manage a multi-line telephone system
- Relay, retrieve and distribute mail/messages in a timely fashion and to appropriate personnel
- Page personnel, as required

Travel Arrangements
- Assist with booking rooms, flights, and car rentals for employees
- Act as first point of contact with Uniglobe
- Review monthly/annual travel reports
- Handle cancellations and keep track of credits
- Update the Business Administrator procedure manual as needed

**REQUIRED EDUCATION, EXPERIENCE & SKILLS**
- Administrative Assistant diploma from a recognized business school, or equivalent work experience
- A minimum of 5 years’ experience in a related field
- Strong organizational skills with attention to detail
- Superior proofreading and orthography abilities
- Strong time-management skills; ability to work well under pressure and meet deadlines
- Ability to multi-task and prioritize multiple responsibilities
- Possess a positive and professional attitude, set a high standard, and convey professionalism at all times
- Valid Driver’s license
