Job Opportunity

This position is supervised by the Ottawa Black Mental Health Coalition Coordinator at Somerset West Community Health Centre. The Administrative Assistant is accountable to the Ottawa Black Mental Health Coalition Executive Board of Directors and the Manager of Anti-Racism, Anti-oppression and Systems Change.

Position DescriptionThe Coalition Project Administrative Assistant:

- Supports the ongoing work of the Coalition through administrative support, support for communications and networking (between Network and Coalition members and key partners).
- Provides support to assist both the Coalition’s _Community of Practice_ and the _Counselling Connect_ ACB Community Counselling Portals.
- Provides support to OBMHC working groups and committees involved in the planning and execution of Coalition activities.

Position Requirements

**Education**:

- College/University degree related to administrative support and/or the equivalent in education and experience.

**Professional Experience**:

- 1 - 3 years of experience in Administrative Support (general office administration, computer experience and competency)
- Experience working in an office environment in the health and social services sector.
- Knowledge of the mental health systems and referral pathways in the Ottawa region.
- Familiar with stakeholder relations and working with customers or clients

**Key Competencies**:

- 1-3 years of experience in Administrative Support (general office administration, computer experience and competency)
- Knowledge of basic accounting and bookkeeping, invoicing etc.
- Experience working with ZOOM webinars, social media platforms, Canva, Constant Contact, Adobe, Survey Monkey, and Microsoft Office Suite
- Experience coordinating translation and interpretation services

**Linguistic Profile (for Centers with French Language Service Designations)**

**Fluency in English is mandatory for this position.**

**Personal Suitability/Other Requirements**
- Proficient in with digital resources including Constant Contact, Survey Monkey, Word Press, Canva, MS Excel,
- Strong interpersonal and problem-solving skills
- Excellent organizational and time management skills
- Strong computer and software skills in Microsoft Office, Google Workspace, ZOOM, Doodle, etc.
- Ability to work independently, work remotely
- Excellent organizational skills
- Works effectively and demonstrates composure and professionalism under pressure/challenging conditions and to meet multiple conflicting demands
- Works independently, is self-directed and exercises initiative
- Successful completion of Police Record Check, with the vulnerable sector

**Position Responsibilities
**Administration**
- Prepares, composes, types, edits and distributes electronically agendas and minutes of meetings
- Ensures all data, such as contact information, is always up-to-date
- Update Coalition Member database spreadsheets, annual meeting schedules as required
- Participates in program monitoring and evaluation as required
- Maintains confidentiality and acts in an ethical and professional manner, in accordance with professional standards
- Conducts follow up calls to members and stakeholders as needed
- Processes invoices and updates project budget

**Planning/Advocacy Support**
- Works well within a team environment and collaborates with others, assisting in the delivery of professional service to partners and stakeholders
- Ability to work collaboratively in a multi-disciplinary team with clinicians and other agencies in the Coalition
- Ability to support on ZOOM to deliver workshops, webinars and meetings
- Arranges and attends team and staff meetings
- Participates in Coalition special events as required
- Complies with all mandated legal/regulatory requirements related to working at SWCHC, i.e., Occupational Health and Safety, standards of professional conduct, etc.
