We have expanded our offerings to our community and Waterloo through our new church facility and the attached SideWalk Community Centre. We are currently seeking an Office Administrative Assistant. This position is 35 hours per week from April 29th, 2024 to August 16th, 2024.

Compensation package: $16.55 per hourHours: Monday-Friday 10:00 am - 5:00 pm. Some flexibility to support events outside of these hours may be required.

Description: The primary purpose of the Office Administrative Assistant is to support the church office and The SideWalk Community Centre in running effectively by keeping the congregation and community aware of services and activities and assist the Rector, Wardens, other clergy, and staff in the parish administration.

**Duties & Responsibilities**:

- Prepare weekly bulletins and inserts as well as other materials in preparation for worship services.
- Assist clergy and other staff with administrative needs such as appointments, filing, letters, etc.
- Sort and deliver incoming mail to named individuals; open and respond to all mail not addressed to an individual.
- Print and prepare letters and envelopes for parish mailings, newsletters, and correspondence.
- Keep Parish list up to date, maintain Parish Database, Website and Social Media Channels (Facebook, Twitter, Instagram). Knowledge of Tithe.ly is an asset but not required.
- Look after Church and SideWalk Community Centre bookings and rental agreements in conjunction with Wardens. Inform the sexton, etc. who need to know of all events and parish activities. Include all church and community centre bookings in appropriate calendars and databases.
- Maintain adequate inventories of regular and seasonal office supplies. Purchase office supplies as needed.
- Assist parish groups in ordering and receiving materials.
- Serve as Vestry clerk and prepare Vestry Report for distribution.
- Prepare and maintain parish vestry books and necessary certificates.
- Collate and distribute all announcements from the Diocese, Deanery, Parish, and community.
- Maintain a list of SideWalk Community Centre calendars, and list parish and SideWalk events as appropriate both within the church and to the wider community both through physical media and digitally.
- Prepare any media releases to local media outlets.
- Coordinate and assist volunteers with obtaining police checks.
- Schedule and manage readers and intercessors for worship services as needed.
- Organize paper files and electronic files in the office and on the office computer (both on the hard drive and on Google Drive). Shred any paper materials as needed.
- Other duties as required.

Skills & Experience:

- Experience working in a team environment.
- Imaginative, energetic, and flexible.
- Sensitive pastoral abilities, including but not limited to the maintenance of confidential materials and information when required.
- Computer skills and adept at learning new technology
- Willingness to learn and an attention to detail.

**Requirements**:

- Negative Vulnerable Sector Check within two weeks of being hired.
- Based on the policy of the Employment and Social Development Canada, you must be aged between 15 and 30 and be legally entitled to work in Canada. International students are not eligible.

The Government of Canada funded this position through the Canada Summer Jobs program.

**Job Types**: Full-time, Fixed term contract

Pay: $16.55 per hour
