**About the role**

Canadian Blood Services is looking for a **Regular Full-Time Finance Operations and Committee Coordinator** to join our dynamic **Financial Accounting team.** The work of a Finance Operations and Committee Coordinator is integral to Canadian Blood Services’ role as Canada’s Lifeline.

In this role, you will be responsible for contributing to the overall management of the finance and pension function within the Finance department and act as a resource to the Director, Financial Reporting, Advisory and Pension Services, Director, Strategic Financial Management and, Director, Financial Planning & Analysis.

You will be responsible for leading and coordinating the delivery of confidential and time sensitive finance and board/committee documents to support decision-making and oversight of Canadian Blood Services and its’ entities, promotes and facilitates the development of standardized processes and identifies process improvement opportunities, supporting the day-to-day operations of the Finance department, building and sustaining internal and external relationships and coordinating meetings, events and activities.

**Key responsibilities include**:
**Leads and coordinates the delivery of time sensitive finance documents to support the decision-making of Canadian Blood Services**:

- Leads and coordinates the delivery of confidential and time sensitive finance and board/committee documents to support decision-making and oversight including agendas, briefing notes, meeting materials, including those within the finance department, the Canadian Blood Services Pension Committee and Board of Trustees, the Board of Directors of Canadian Blood Services and captive insurance subsidiaries.
- Produces committee/board documents, as appropriate.
- Oversees and coordinates the receipt of all committee/board materials and uploads material to Diligent and/or SharePoint, our Boards/committees collaboration software tools, and/or distributes material to the Canadian Blood Services Corporate Secretary.
- Responds to information requests and inquiries from the Finance Directors and the various Boards and Committees.
- Conducts research, analysis, and drafts of summary briefing materials.
- Reviews, organizes, edits and formats briefing materials and presentations. This includes reviewing committee/board cover notes, meeting materials and financial reports, including reviewing financial reports for mathematical accuracy and ensuring key data points between documents agree.
- Coordinates the committee/board review timetable and related meetings between finance and the CFO and VP Corporate Services.

**Identification and implementation of process improvement, ensures process and task integration, service delivery and reporting across finance functions**:

- Promotes and facilitates the development of standardized processes and identifies process improvement opportunities across the finance department.
- May lead and/or contribute to the development and monitoring of effectiveness of delivery and makes recommendations on process improvement activities as needed.

**Coordinate the day-to-day operations of the finance department**:

- Oversees finances and various committees/boards’ service provider contracts, work orders, purchase orders and purchase requisitions, including tracking of contract dates and expiries, proactively initiating the renewal or request for proposal (RFP) process with Finance owners and procurement, and coordinating and administering renewals, extensions, or RFPs.
- Coordinates regular Finance meetings including development of agendas and delivery of materials, as required.
- Provides administrative support / logístical support for finance and various committee/board meetings including venue selection, meeting room set-up and AV availability and catering decisions.
- Manages calendars, coordinates travel, and prepares expense reports for Finance Directors.

Performs other related duties as required.

**Education, Training and Experience**:

- Post-secondary level education, preferably a university degree in a related field.
- Minimum of six years of related office or administrative experience.
- Proven experience successfully interacting and building credibility with senior managers and stakeholders.
