**We are currently seeking a **Full-Time Project Coordinator** **to manage and coordinate all pre-construction activities to ensure smooth project execution and client satisfaction.**

Under the supervision of the Pre-Construction Manager, the duties and responsibilities of the Project Coordinator include, but are not limited to, the following:
**Pre-Construction**:
- Serves as the primary contact for clients from the initial site meeting through to the handing the project over to the Project Manager;
- Focuses on driving sales and achieving targets and conversion rates;
- Attends introductory project site meetings to understand the client’s vision and project requirements;
- Measures the dimensions of the project space, takes detailed pictures, records detailed notes to capture key information to develop quotations and proposals;
- Develops and reviews accurate quotations and proposals for clients, identifying demolition, engineering needs, labour, material, subcontractors, and other relevant costs;
- Ensures quotations align the client’s budget, collaborates with the design team to ensure a successful project vision;
- Reviews project plans, engineered drawings, and all specifications to understand the full project scope and requirements;
- Creates detailed cost estimates outlining the breakdown of all project costs using the company's estimating software;
- Utilizes historical data, industry standards, and current market prices to calculate the cost of materials, labour, equipment, and other expenses required for each project;
- Collaborates with suppliers, subcontractors, and other vendors to obtain competitive pricing for materials and services, negotiating prices and terms as needed;
- Identifies potential risks and uncertainties that may impact project costs and incorporated contingencies into the estimate;
- Quantifies all materials, equipment, and labour needed for each aspect of the project based on the engineered plans and specifications;
- Produces a comprehensive line-by-line proposal using the company's proposal software;
- Presents proposals to clients in a clear and persuasive manner, addressing any questions or concerns, and suggesting alternative solutions as necessary;
- Follows up with clients for feedback and makes necessary revisions to estimates and proposals;
- Prepares and drafts change orders, as required and communicates with internal departments accordingly; and
- Works closely with internal teams, including project managers, designers, and subcontractors to meet client needs and expectations throughout the renovation process.
**General**:
- Builds and maintain strong relationships with clients throughout the sales process and beyond, ensuring client satisfaction and repeat business;
- Maintains accurate records of each project's estimating process, including cost data, assumptions, and documentation of any changes or revisions to the estimate;
- Communicates effectively with team members to relay client requirements and project details;
- Maintains and fosters vendor and supplier relations; and
- Stays updated on developments in renovation technologies, materials, and techniques, and participates in training programs, and industry events to enhance knowledge and skills.
- Construction Engineering Diploma or equivalent required;
- Minimum Three (3) years’ experience with residential construction;
- Valid driver’s licence and access to a reliable vehicle;
- Occasional travel within the Greater Hamilton Area (GHA), with occasional trips to the GTA inclusive of Mississauga, Oakville;
- Intermediate to advanced proficiency in MS Excel (functions, forms, and automations) and MS Word is required;
- Familiarity with product vendors and suppliers;
- Professional, articulate written and verbal communication and presentation skills;
- Results driven self-starter to meet and exceeded goals, with the ability to work efficiently within a team;
- Strong interpersonal skills, with the ability to build and maintain positive relationships with clients, team members, and vendors;
