We are seeking an enthusiastic and detail-oriented Office Coordinator/Executive Assistant to join our team As the master organizer, you'll be responsible for a range of administrative tasks, from completing reception duties and providing administrative support to booking travel arrangements. You'll provide invaluable executive support by keeping things running smoothly and efficiently, allowing them to focus on what they do best. Your organizational skills will be put to the test as you juggle multiple priorities in a fast-paced environment.

**What the Office Coordinator/Executive Assistant does**:

- Welcomes and directs visitors in a polite and efficient manner
- Manages and maintains all aspects of the head office, manufacturing office and provides remote support to US office
- Maintains security by following procedures, monitoring visitor sign-in, and issuing visitor badges
- Completes general reception duties including answering and directing phone calls, sorting and sending mail, arranging couriers, and completing expense reports
- Assists with event planning including coordinating corporate catering and liaising with vendors
- Orders all office supplies and maintains inventory
- Liaises with building management to ensure facility is maintained
- Serves as a member of the Health & Safety Committee and assists with coordinating and implementing health & safety projects
- Keeps signage and information up-to-date and posted
- Provides administrative support to President including calendar management, scheduling meetings, and handling personal appointments and tasks
- Coordinates travel arrangements and itineraries for the Executive Team
- Routinely provides support to the Office Manager with various tasks and projects as assigned
- Provides administrative support to senior management, including drafting and editing correspondence, preparing reports and presentations and assisting with special projects
- Assists with HR-related tasks, such as onboarding new employees and maintaining employee records
- Conducts research and prepares reports on various topics as requested

**The Company Will Expect From You**:

- 1 - 2 years of prior experience in a reception or office administration role
- Previous experience working in an executive support role is a strong asset
- Advanced proficiency in MS Office suite (Outlook, Word, Excel, and Powerpoint)
- Proven self-starter with a high attention to detail and organizational skills
- Strong multi-tasking skills and ability to thrive in a fast-paced environment
- Ability to pro-actively anticipate needs and take ownership of tasks
- Strong interpersonal skills with the ability to excel in a team environment and work independently
- Strong verbal and written communication skills in English
- High degree of professionalism and ability to maintain confidentiality
- Valid BC driver’s license with clean abstract and access to a car
