**Description**:
Reporting to the Special Events and Programs Manager, the Special Events and Social Media Coordinator will be responsible for the development, organization, and attendance of all special events and programs for the Summerside Residents Association (SSRA). They will also manage the SSRA social media accounts engaging with the residents, and the local businesses in the community to foster opportunities for sponsorships and awareness of SSRA operations. You will also take direction from the General Manager, and Parks and Maintenance Manager.

**Reporting**:
The Special Events and Social Media Coordinator reports to the Special Events and Program Manager of the Summerside Residents Association.

**Duties**:
Without limiting the generality of the foregoing, the Special Events and Social Media Coordinator will be responsible for the following:
**Main Tasks**:
**1.Events**
- Assist with planning, organizing, supervising, and setup/takedown of a wide range of events.
- Working with sponsors to identify their needs and ensure customer satisfaction.
- Organizing details such as decor, catering, entertainment, guest lists, equipment, promotional material etc.
- Maintaining accurate, detailed records of event details for historical data
- Attend and execute all SSRA events and act as team lead during the event

**2. Social Media**
- Manage the SSRA social media platforms (Facebook & Instagram)
- Develop a social media schedule, strategy and marketing plan for both Facebook and Instagram to help build a strong social media community.
- Creating high-quality original written and visual content for a social media.
- Creating inclusive posts, stories, and reels that educate our residents on a variety of topics and increase their engagement with the SSRA
- Promoting and marketing all programs and events.
- Growing the current social media presence.
- Analyzing data.
- Able to develop the right voice for each social media platform.
- Respond to residents’ comments and/or messages on social media

**3. Sponsorship**
- Assisting in the promotion and growth of the SSRA sponsorship program
- Draft contracts
- Meet sponsors and explain to them the benefits of the SSRA sponsorship program.
- Implement sponsorship strategies in order to maximize revenues
- Seek new sponsors by taking referrals.
- Handle negotiations with sponsors and ensure that the agreement that has been reached is the closest to the objective of the plan.
- Act as a liaison between sponsors and the company
- Assist other Managers in order to execute the terms of existing sponsorship programs.
- Write and file sponsorship reports for the benefit of documentation and review.
- Ensure the delivery of agreed sponsor benefits successfully.
- Develop appropriate correspondence such as proposals, thank you letters, social media exposure (customized /direct posts) and program outcome information.

**4. Programs**
- Assist with planning and scheduling a variety of paid programs.
- Continually research new programs, seminars and activities that would be of interest to the residents.
- Monitoring community groups and competing organizations to best utilize and implement programs.
- Continually researching the competition and ensuring our pricing is comparable.
- Developing strategies and action plans for successful program options
- Ensure there is sufficient equipment and space for programs and purchasing equipment within approved limits

**Other Tasks**:

- Seek out, coordinate, and complete donation or grant requests from local community businesses for program and events
- Write, edit, and produce quarterly calendars/brochures of programs, events and activities for distribution to the residents and for posting on the social media outlets.
- Taking reservations, facility bookings, and program registrations.
- Help manage resident membership registration and take payments.
- Purchasing of equipment and supplies within approved limits.
- Creating various policy and procedure manuals related to programs, events and the facility.
- Assist in other various tasks for the Special Events and Program Manager.
- Back up support to the General Managers’ and office staff including customer support and some administrative duties as required.
