Sales & Events Coordinator

Responsibilities include but not limited to:
- Prepares all documentation and coordinates with sales, hotel departments and customer to ensure consistent, high level service.
- Recognizes opportunities to maximize revenue opportunities by up selling and offering enhancements to create outstanding events
- Acts as liaison between field salesperson and customer throughout the event process. Always makes presence known to customer during this process. Is available to solve problems and/or suggest alternatives to previous arrangements
- Proactively identifies operational challenges associated with his/her event and works with the hotel staff and customer to solve these challenges and/or develop alternative solutions.
- Advises sales staff as to ability to accommodate client demands including phone requirements, available space and materials such as booths. Assist sales staff in promoting hotel, developing leads and securing re-bookings.
- Access and input data into a computer system to generate account history reports.
- Familiar with the Sales and Marketing Plan. Performs activities on a monthly basis in order to achieve targeted market segments and revenue.
- Be aware of competitor activity.
- To use a professional manner with telephone and walk-in inquiries and perform planned telemarketing sales and mail-out activity while participating in sales calls as directed.
- Maintain an effective Trace System in order to maximize on future business for the property.
- Assist in monitoring of business alerting the Sales Manager to non-payment of deposits, cancellation or reduced numbers as per company policy.
- Assist with site visits and assist with the organization of public relation events. Ensure Sales correspondence/contracts as delegated are dealt with promptly and efficiently.
- Ensure accurate documentation and distribution of information to departments in relation to bookings made/cancelled and assist within the operation as necessary to ensure guest satisfaction.
- Be aware of and fully utilize materials/tools available such as Delphi.
- Enter individual reservations with corporate clients and enter FIT bookings as necessary.
- Prepare reports/statistical information and maintain accurate and up to date data base.
- Creation of group blocks in R&I & ONQ
- Look after commissions, rebates and paperwork for accounting after client has departed
- Reply to requests from Fast Pay
- Comply with attendance rules and be available to work on a regular basis.
- Perform any other job-related duties as assigned.
- Ability to effectively manage and communicate with internal and external customers.
- Ability to communicate effectively both verbally and written in order to interact with guests, vendors and department heads.
- Must be proficient in group work
- Must have the ability to communicate in English.
- Always maintain a professional appearance and manner.
- Strong Administrative skills
- Strong customer service skills
- Ability to establish and maintain effective working relationships with associates, customers and patrons
- Proficient with computers and Microsoft office
- Experience with Property Management Software and Point of Sales systems is an asset.
- Strong organizational skills with attention to detail.
- Strong verbal and written communication skills
