- Reporting to the Lead, the Coordinator provides administrative and project coordination support across the portfolio. The Coordinator is a primary contact and plays a key role in supporting multiple programs and/or projects, including strategic and confidential initiatives in a complex and changing multidisciplinary environment. The role supports team priorities, initiatives and provincial projects by way of consultation, guidance and administrative coordination to designated staff, contractors and internal and external partners at all levels across the organization. Representing the interests the PLMS and PHSA, the role demonstrates tact and discretion when triaging sensitive and confidential information and when communicating to internal and external partners in an influential and persuasive manner, on behalf of the Director.**What you’ll do**
- Function as a confidential liaison contact across the portfolio with internal and external partners, coordinating information and activities across Health Authorities, ministry representatives, business partners and other interested parties.
- Schedules, coordinates and attends meetings and activities with HAs and other interested parties by coordinating arrangements, preparing and distributing meeting materials and agendas, taking and processing minutes where requested and reviewing and following up on meeting commitments.
- Contribute to the preparation of reports, dashboards, briefing documents and presentations for various partners as required.
- Assist with producing and maintaining detailed project charters, plans and objectives and supports project planning according to project methodologies and supports consensus with interested parties as needed.
- Facilitate successful and coordinated completion of project components.
- Support generation of regular budget status reports and assists with managing budget, which may include: administering and tracking budget/finances, vendor contracts/invoices, and other financial and contract management related items.
- Produce and maintains tracking logs, including budget, issue, risk, change, decision and communications logs.
- Coordinates gathering and maintaining of data and relevant information for the business unit, and provides input and recommendations to the program for development, implementation, analysis, dissemination of findings, and implications.
- Assists with the development of correspondence, information/briefing notes, program resources and materials and maintains the program share point sites.
**What you bring**
- A level of education, training and experience equivalent to a Bachelor’s degree in Business Administration, Social Sciences, Health Administration or related field supplemented by completion of courses in project management, and three (3) to five (5) years of experience in an administrative, project coordinator/management or business operations role in a complex and changing multidisciplinary environment.
You will also have:
- Demonstrated initiative, high motivation, independent problem solving and creative solutions implementation capabilities.
- Proven organization skills and ability to coordinate multiple projects and meet deadlines with high attention to detail. Demonstrated ability to manage projects on time and budget.
- Demonstrated ability to work in a complex fast paced environment with mínimal supervision and procedural guidelines and to be flexible to meet and adapt to changes in organizational and project priorities.
- Demonstrated advanced skills in word processing, spreadsheet, planning and presentation software.
- Excellent written and verbal communications skills.
- Awareness of and commitment to learning and understanding the Truth & Reconciliation Commission’s 94 Calls to Action (2015), In Plain Sight Report (2020), BC's Declaration on the Rights of Indigenous Peoples Act (2019), and other related reports.
- Commitment to upholding the shared responsibility of creating lasting and meaningful reconciliation in Canada as per TRC (2015) and BC's Declaration on the Rights of Indigenous Peoples Act (2019).
