RESPONSIBILITIES:

- Oversee and manage the academic and educational activities of the Mount Sinai Hospital General Surgery Divisional office.
- Provide program oversight and support to General Surgeons, Residents (general surgery and off-service), and Fellows, and oversee electives and observers and administer and track all related correspondence.
- Manage all trainee rotation scheduling and collaborate with the General Surgery Chief Administrative Resident to develop and disseminate team allocation, call schedule and teaching rounds
- Track and transcribe resident evaluations (general surgery and off-service)
- Coordinate and publicize all educational rounds and conferences within the Division of General Surgery including Socratic teaching rounds, imaging rounds, quality of care rounds, tri-hospital rounds and special rounds (including visiting professor grand rounds); be responsible for room bookings, catering and modifications of same
- Develop, disseminate and appropriately modify monthly faculty O.R. and On-Call schedules
- Organize undergraduate teaching assignments working with the University of Toronto Undergraduate Office
- Manage travel reimbursements for clinical/research fellows and ancillary staff attending conferences and other educational events
- Administer and manage bank accounts and process payments through hospital accounts and third party vendors
- Coordinate itinerary for visiting professors and oversee travel and accommodation arrangements and book and manage catering, hospitality for all divisional events
- Manage the administrative team and oversee all human resource related transactions such as: staffing, payroll and orientation of new hires when required.
- Coordinate one and two year reviews for new faculty
- Coordinate recruitment of new faculty and clinical associates
- Other duties as assigned
- Job Requirements- Successful completion of a three (3) year College diploma in a related field from an accredited educational institution
- Successful completion a University degree in a related field from an accredited educational institution preferred.
- Minimum five (5) years of related office management experience with a minimum of three (3) years in an academic healthcare environment.
- Minimum two (2) years of financial management experience preferably within a healthcare environment preferred.
- Advanced technical skills and proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook)
- Superior organization and problem solving skills, and ability to prioritize competing tasks
- Superior work ethic, professionalism, resourcefulness, dependability, reliability and diplomacy
- Ability to make decisions, exercise judgment and take initiative in dealing with confidential information and/or in responding to inquiries
- Flexible with ability to work efficiently in a fast-paced, multitasking and dynamic environment
- Demonstrated excellent work performance and attendance history
