**Summary**
The Administrative Assistant is responsible for a wide variety of clerical office duties, assisting three companies: Northridge Developments Ltd., Metal Specialty Limited, and NorthTech Engineering Services
Inc.
Duties include providing support to office staff and field employees, assisting in daily office needs and managing our company’s general administrative activities.
**Responsibilities**:
- Refer all inquiries to the appropriate individuals across the organization.
- Type forms, letters, reports, and memos as necessary.
- Receive and distribute all forms of paper correspondence.
- Organize, maintain, and coordinate office records and files in their proper locations.
- Basic bookkeeping duties such as entering accounts payable, prepare quotes and invoices, and reconcile credit card statements.
- Filing, typing, copying, laminating, scanning, and preparing binders.
- Preparing job specific specifications, contract documents, tender documents, etc.
- Present a positive and professional image of the organization to all visitors, suppliers, inquiries, and other interactions.
- Schedule appointments and maintain leave requests and vacation calendar.
- Ensure all forms and reports are completed as needed.
- Arrange travel bookings via approved providers and distribute tickets to staff.
- Administer and manage inbound/outbound mail, including priority post, packages, courier services, and other correspondence.
- Accept and monitor inbound shipments as necessary.
- HR and Safety support.
- Other job duties as assigned.
**Requirements**:
- Office Administration or Business Administration Diploma, or equivalent.
- Work experience in an office environment; knowledge in engineering and construction considered an asset.
- Knowledge in Quickbooks considered an asset.
- Strong customer service orientation.
- Able to write correspondence, including memos, letters, etc.
- Adjusts and is flexible to meet changing work needs and demands.
- Strong knowledge of Microsoft Office products.
- Able to maintain filing systems and basic databases.
- Superior telephone manners and strong interpersonal skills.
- Strong written and verbal skills.
