**Position Summary**

Reporting to the Executive Director, this position is responsible for the efficient management, coordination and logistics of all Richmond Hill Board of Trade administrative, office and bookkeeping functions.

**Job Description - Administrative Assistant and Bookkeeper**
- Successful applicant will provide Office Support that includes but not limited to Basic reception duties, answering membership enquiries; membership support;
- Support office team in event hosting & organizing events; cold-calling businesses and other administrative duties.
- Data entries and Filing
- Postage system - update postage amount.

**Bookkeeping**
- Process full cycle accounts payable and receivable
- Produce monthly financial reports
- Maintain general ledger and Filing
- Assist Executive Director in developing/creating the yearly budget
- Liaison with auditor and answer auditor’s questions during audit period
- Set up Chart of Accounts and revenue item in Database.
- Reconcile accounts receivable in Database with QuickBooks
- Set up and transfer transactions from CRM System to Quickbooks.
- HST Return - quarterly filing.
- Bank deposits, Visa & HST payments.
- Maintain and reconcile Petty Cash register, Bank Statement and Visa Statement
- Events -Track and confirm all invoices related to events. End of event revenue & expense reconciliation.

**Payroll**
- Administers the bi weekly payroll which includes 5-6 full-time staff, 3-4 contract staff using a payroll service
- Set-up new employee records, maintain past staff files etc.
- Update payroll system with new employees, LTD/Life amount, deductions, generate ROEs etc.
- Process T4s for staff
- Process year-end payroll reports.

**Committees - Board & Government Affairs**
- Notice of Change updated every year (new board members with Ministry)
- Schedule monthly meeting, prepare Agenda, Minutes etc.

**Qualification**:

- 2-3 years of office administration experience
- Proficient computer skills, including Microsoft Excel, Word, Outlook and Quick Books
- Strong verbal and written communication skills
- High degree of attention to detail and Multi-tasking.

**Salary**: $18.00-$22.00 per hour
