**Position Description**:
**Scheduling Coordinator - Respiratory Therapy**

**Position Description**

Reporting directly to the Senior Clinical Manager for Respiratory Therapy (RT), the Scheduling Coordinator will support daily clinical staff coverage for all sub-specialty areas. Will have the primary responsibility of the staff schedule and payroll, general administrative duties within the RT Department including the Technical Division. Works with RT Leadership to support the Respiratory Therapy team in providing best quality and family-centered care.

**Here’s What You’ll Get to Do**:
**_ Administrative Support_**
- Responsible for co-ordinating the development of the RT staff schedule for each respective sub-specialty area.
- Facilitate the build and maintenance of the RT staff 6-week schedule templates in the computerized scheduling database.
- Inputs scheduling data into computerized scheduling databases.
- Once the schedules are completed, maintains and updates the schedules.
- Produce computerized scheduling reports to assist in the management of staff assignments.
- Monitor trends/patterns and track data related to compliance with scheduling requirements and absenteeism. Provide feedback to leaders related to these trends/patterns and collaborate in implementing initiatives to address areas for improvement.
- Primary payroll administrator for the RT Department.
- Manage and provide support to the leadership team and staff related to staffing and payroll issues.
- General administrative duties including calendar management, monitoring multiple inboxes, file and document management.
- Management and reconciliation of scheduling and payroll materials for the RT Department.
- Maintain reference and scheduling materials/files.
- Maintain files/list of payroll changes.
- Co-Chairs and records minutes of Scheduling meetings.
- Assists Senior Clinical Manager in implementing, scheduling and managing of the Performance Management Program
- Supports the RT Technical Division with scheduling and ordering of equipment and supplies.
- Ensure appropriate maintenance and day to day requirements of the RT Department facilities, including space, equipment, and supplies.

**_ Employee Scheduling_**
- Collaborate with the Senior Clinical Manager for Respiratory Therapy and Scheduling Working Group to establish staffing models.
- Regular communication and consultation with the RT leadership team to manage resources in alignment with fiscal accountabilities.
- Primary point of contact in the management of all schedule related issues.
- Collaborate with Scheduling Facilitators from respective sub-specialty areas to monitor sign up and facilitate the build of the schedules.
- Facilitate stakeholder communication to meet staffing requirements.
- Identify and communicate employee scheduling/staffing issues to the leadership team.
- Verify employee availability by comparing the already established schedules with any current, approved requests for leaves of absence received by the incumbent.
- Identify the discrepancies between appropriate staff requirements and employee availability.
- Review, approve or deny staff shift change requests based upon staffing requirements and guidelines.
- Communicate with employees in order to meet staff requirements.
- Consult with Senior Clinical Manager and Charge RT Group on situations that have budgetary implications such as overtime.

**_ Information Resource Activities_**
- Acts as a resource for staff in the utilization of the computerized scheduling systems.
- Provide educational support to orient new staff to the computerized scheduling and payroll systems.
- Identify and communicate employee scheduling/staffing issues to the leadership team.
- Participate in the design, development, and implementation of computerized employee scheduling tools.
