**As the Administrative Assistant, Community Services, you will**:

- Plays a key customer service role for the section receiving, directing, and responding to requests from internal and external customers for the department.
- Maintains and enhances internal and external website for the department.
- Develops or maintains a records management system (including classifying and coding electronic and hardcopy files).
- Schedules and coordinates meetings, appointments and travel arrangements. Records and distributes meeting meetings to attendees.
- Coordinates monthly COLT pass sales and returns.
- Completes administrative duties for the Director, Community Services.
- Conducts research, reviews, and prepares documents, reports, agendas, presentations, and other correspondence materials.
- Handles requests for information and data.
- Reviews and codes all invoices, circulates for signatures and coordinates with Accounts Payable for processing.
- Supports the logistics and set-up of the department’s events such as, but not limited to, open houses and external meetings.
- Tracks and prepares statistics for the department.
- Maintains and monitors office equipment and supply inventory

- One to three years’ related administrative experience
- Completion of a post-secondary program in the Administrative profession or equivalent education and experience in related environment
- Related experience in a public sector environment is considered an asset
- Experience working with recreation facility software or Perfect Mind
- Demonstrates excellent customer service and problem-solving abilities.
- Demonstrated ability to work in an open environment with frequent interruptions
- Ability to work independently, prioritize and adapt to a changing pace and environment while managing one’s time.
- Strong oral and written communication skills, with excellent work ethic and commitment to a high level of customer service.
