The Service Administrator position is located in Vancouver and reports directly to the Service Division Manager.

The Service Administrator will assist in maintaining a productive and efficient operation within the British Columbia Service Division by performing dispatching and administrative duties ensuring that standard company procedures and specific instructions are followed. This role would be ideal for a dynamic, tech-savvy individual with excellent communication skills, attention to detail, customer service focus and strong problem solving skills.
- Receive Demand Maintenance Requests from customers
- Generate Work Orders and Purchase Orders
- Dispatch Technicians to sites requiring service
- Order Parts/Material
- Update/Receive Work Orders and Purchase Orders
- Maintain On-Call Technician schedule
- Submit, track, and follow up with customer quotations
- Track and follow-up on Warrantee items
- Prepare completed Work Orders for billing
- Develop/Issue downtime report
- Clear workfile revisions backlog (monthly)
- Issue tools/keys to Technicians
- Other related duties as assigned

EDUCATION REQUIREMENTS
- Completion of College or other courses in Dispatch and Administration
- Post-secondary degree in Business Administration or related field is an asset

WORK EXPERIENCE REQUIREMENTS
- 2-3 years' experience in a similar or relevant environment
- Knowledge of the HVAC Service or Construction industry would be an asset but is not required

SKILLS, ABILITIES, AND OTHER REQUIREMENTS
- Proficient in computer skills including Microsoft Word, Excel, and Outlook
- Familiarity with the Microsoft Windows operating system
- Knowledge of SharePoint and other collaboration tools are an asset
- Excellent organizational and time-management skills
- Excellent communication skills both verbal and written; able to communicate clearly and effectively and relate to technicians, customers and co-worker needs
- Maintain a professional demeanor at all times with fellow employees and customer
- Good attitude and willingness to learn
- Ability to work individually and with a team
