**Job Summary**:
The Fund Development Coordinator plays a crucial role in supporting the organization’s fundraising, including solicitation and stewardship, through day-to-day operations, administrative functions, and donor relations support. This role holds primary responsibility for managing the organization’s donor database, and related functions, including data entry and production of acknowledgement letters and charitable tax receipts. It supports sponsor and donor outreach, engagement, and stewardship, including signature and third-party events.
**Key Responsibilities**:

Donor Relations:_**
- Serve as a first point of contact for donation-related inquiries.
- Respond to donor inquiries, accept and process donations by cheque, phone, and other means.
- Prepare and process acknowledgement letters and charitable tax receipts in accordance with Canada Revenue Agency (CRA) guidelines and agency policies and procedures.
- Support staff leadership and the Board of Directors and Fundraising Committee in stewardship and solicitation activities through preparing and coordinating acknowledgement, scheduling meetings, and providing administrative support as required.
- Where required, engage with current and prospective donors directly through solicitation and stewardship activities.
- Stay up to date on and hold a strong understanding of Canada Revenue Agency (CRA) guidelines on fundraising and charitable activities.
**_ Database Management:_**
- Holds primary responsibility for ensuring the organization’s donor database, currently using the _Raiser’s Edge NXT_ platform, is accurate and up to date.
- Process or input donor and donation information in the database, ensuring consistent entry procedures and supporting the training of other staff on data entry and database usage guidelines.
- Prepare regular reports for management, the fundraising committee, and the board on fundraising performance.
- Track and update critical donor information and actively manage donor lists and other segmentation elements within the database.
**_ Fundraising and Sponsorship Support:_**
- Work with the Communications and Development Coordinator to produce donor appeal letters, and support the creation of additional solicitation materials, as part of agency fundraising campaigns.
- Support the Manager, Fund Development and Communications in the preparation of sponsorship materials for signature events and other fundraising initiatives, as well as cases for support, presentations, and other materials that support donor outreach and stewardship.
- Where required, interact directly with donors and sponsors to solicit, thank, and share information and updates.
**_ Event Support:_**
- Work with the Community Engagement team to support the implementation of signature events, and commitments to third-party fundraisers.
**_ Administrative Support:_**
- Provide administrative support, such as meeting scheduling, agenda and materials preparation, and minute-taking for fundraising committees.
- Assist the Executive Assistant and Board Support as required to support the Board Fundraising Committee.
**_ Additional Duties:_**
- Other duties may be required from time to time.
**Qualifications**:
- Post-secondary degree or diploma, or an equivalent combination of education and experience.
- Ideally 1-2 years of fundraising experience, with a focus on database management, or previous volunteer work in fundraising, is preferred. Roles with transferable skills, such as sales and/or customer service, are also assets.
- Excellent attention to detail is required to ensure accuracy of donor communications and tax receipting.
- Strong writing skills.
- An appreciation for and minimum basic ability to work with design platforms such as Canva and to produce appealing and engaging documents for supporters.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
- Previous experience with donor or customer relationship management platforms is an asset. Experience with Raiser’s Edge NXT is an even greater asset.
