**Main Purpose and Function**

The Rentals and Film liaison will work with clients to ensure that their event requirements are met while maintaining a high level of customer service and ensuring that Park Board and garden guidelines are adhered to. The position reports to Acting VanDusen Business Team Lead and VanDusen Facility Rentals Supervisor.

**Specific Duties and Responsibilities**
- Liaise and communicate effectively with rental clients, garden guests, and vendors
- Read and follow instructions provided via event memos from Rentals team
- Ensure room requirements have been fulfilled and provide/set up equipment as needed
- Communicate and remind renters of the site rules and regulations
- Set up audio/visual equipment including projector screens, speakers and microphones
- Set up signage on-site
- Considerable walking and standing required in the garden and throughout indoor rental spaces
- Communicate via radio with other staff, BSW and security on site
- Communicate with the Rentals team about client/event needs, scheduling and any issues that arise while on-site
- Operate golf-cart to travel between areas in the garden
- Set up tables and chairs for events
- Provide detailed written summaries of events
- Be the main point of contact during event or filming to help provide guidance and ensure the safety of visitors, guests and the garden
- Troubleshoot as necessary when there are issues during events
- Identify potential risks and disruptions to events, investigate issues reported by event clients and report and communicate with Business Team Lead for guidance.
- Complete incident reports as needed
- Other related duties as assigned

**Qualifications**

Education and Experience:

- Completion of Grade 12 and some related experience, or an equivalent combination of training and experience
- Completion of, or registration in an approved diploma program or a related discipline is preferred
- Standard or Emergency First Aid with CPR-C required
- A Class 4 driver's license is considered an asset

Knowledge, Skills and Abilities:

- Ability to communicate effectively orally and in writing, and a high attention to detail
- Ability to work alone and with others
- Considerable knowledge of the policies and programs of the facility
- Working knowledge of the safety practices, policies, regulations and rules applicable to the work performed
- Physically able to stand/walk for long periods of time, and move/stack tables and chairs
- Ability to assist in the planning and carrying out of special events or programs
- Clerical experience, including the use of Microsoft office and Google Docs preferred
- Special event or film experience is an asset
- Ability to collect fees, issue receipts and balance cash
- Ability to render basic first aid as required

A Police Record Check is a requirement of this position. A clearance requires the absence of any criminal charges or convictions related to this position.
