Executive Assistant

**Reporting To**:CEO

**Job Purpose**:To assist the CEO and Board in governing and operating the Foundation

**Role Summary**:
The Executive Assistant (EA) will assist both the CEO and Board as they govern and operate the Foundation, including organizing, prioritizing, planning, recommending, communicating, implementing, tracking, and reporting functions. The EA will contribute to a constructive organizational culture that values respectful and caring relationships, good systems and processes, and outstanding results.

**Responsibilities**:
The EA will assist the CEO in:

- The allocation of their time, including managing and prioritizing requests, requirements and deliverables, targets and goals, work planning, and schedule
- Managing and responding to correspondence and requests
- Managing events, travel and other arrangements
- Evaluating issues and scenarios and making recommendations
- Communicating on behalf of CEO and Board
- Meeting with special interest groups, partner organizations, or individuals on behalf of the CEO
- Preparing reports, collecting and analyzing information; preparing presentations
- Assist the Board in fulfilling its governance functions
- Welcoming and orienting new board members and honouring retiring board members
- Tracking the chair, board and committee roles and responsibilities to ensure they are being fulfilled
- Managing board documents, policies, and records
- Keeping minutes and other records of meeting discussions
- Ensuring filing and other regulatory responsibilities are being fulfilled
- Evaluating whether organizational practices are aligned with Board policies, and ensuring the policies are in compliance with corporate rules and mission
- Provide backup support to other administrative roles
- Other duties as needed

**Qualifications and Experience**:

- Post-secondary education in Administration, Management or related field or equivalent combination of education and experience
- 3+ years experience in providing administrative support to executive leaders
- Advanced MS Office experience
- Project management software and experience
