Reporting to the General Sales Manager, the Reception Administrator acts as a liaison between our customers and the Sales and Service departments and is responsible for the positive customer experience while supporting the dealership in administrative duties.
This position requires an individual who possesses the following skills and attributes:
- Strong customer service skills.
- Strong communication skills, both written and verbal.
- Comfortable with computers and knowledge of dealership management systems such as CDK.
- Ability to work independently, managing their time and workflow, while simultaneously providing assistance to customers.
- Must have strong organizational skills and the ability to schedule work under time deadlines.
- Accuracy, attention to detail, and clear communication with other team members and departments in the dealership.
- Valid Ontario G license
Previous experience with CDK is an asset
POSITION DUTIES AND RESPONSIBILITIES
- Must be genuinely customer-oriented and can readily establish rapport and trust with customers and must have a strong interest in exceeding customers' expectations.
- Involves patiently listening to customers determining the appropriate area to direct them to in person or on the telephone.
- Presents a professional demeaner at times in all situations.
- Respects the customer’s time.
- Consistent focus on quality.
- Answer in coming calls and forward them to the appropriate parties.
- Complete morning task list as detailed.
- Download Mazda new vehicle invoices.
- Stock in vehicles, new and used.
- Put PDI service checks in new vehicle folders.
- Vehicle licensing.
- Produce inventory lists.
- Attend to shipping notifications.
- Order and stock supplies necessary for support sales and service/parts.
Support the finance function by:
- Providing filing needs for accounting when needed
- Tally service time tickets
- Assist with special accounting projects when required.
- Mail and invoice distribution to the finance team
- Print letters as required.
- Duties may be changed from time to time.
- Employee may be required to perform other duties as assigned by his/her supervisor.
Reception Sales Administrator is in many situations the first and last point of contact for our customers and is an essential and pivotal role in the dealership.
