Vendor and Procurement Specialist

**Responsibilities**

Vendor Management
- Communicate with vendors and provide usage reports on a set cadence.
- Manage all vendor details, including contracts and portal access.
- Review vendor quotes to ensure they meet requirements before placing orders.
- Maintain and update the JSI price list, communicating all updates with the Sales team.

Orders and Procurement
- Oversee the purchase order process and track customer orders.
- Collaborate with cross-functional departments to ensure procurement activities align with business needs. Identify process gaps and propose solutions as part of our continuous improvement initiatives.
- Work closely with Production, PMO, and Sales teams to understand customer requirements.
- Create sales orders for all customer orders.
- Coordinate with Logistics and Finance personnel to manage service tags and equipment/software registration, ensuring compliance with regulatory requirements.

Warranty and Renewals
- Manage license management, versioning, and warranties for customer systems.
- Oversee the renewal process for all software and hardware, communicating with Program Managers about upcoming renewals.
- Maintain accurate warranty dates for all customer hardware and software.
- Generate quotes for warranty extensions.
- Manage inventory by decommissioning equipment or sites in the ERP system.

Additional Production Tasks
- Ensure the ERP system maintains precise records for each active service location, including creating, updating, moving, and decommissioning service items post-project installation.
- Request, create, and distribute Asset Tag Reports for customers.
- Create and maintain reports relevant to build cycles.
- Develop configuration documentation, including software configuration plans and visual representations of server racks to assist in building, configuring, and testing systems.

**Qualifications**
- Bachelor's degree in business administration or equivalent.
- 2-4 years of experience in a Procurement role or equivalent.
- Proficient in maintaining details and reporting within an ERP system.
- Strong analytical and problem-solving skills.
- Strong communication and coordination skills to collaborate with vendors and internal cross-functional teams.
- Ability to learn quickly, organize well, and take initiative.
- Skills in identifying process gaps and proposing solutions for continuous improvement.
- Experience in managing license management, versioning, and warranties for customer systems is an asset.

**How We Work**

As a Vendor & Procurement Specialist, you will be expected to work in a remote/hybrid environment reporting to our Kanata, Ontario location 2 or more times per week.
