**Donation Processing Administrator**:
**Primary Purpose**: To effectively process and receipt charitable gifts and donations received by the University of Saskatchewan.

**Nature of Work**: As a member of the Donations and Trusts team, the Donation Processing Administrator works in a team-and
- service-oriented environment, following procedures and guidelines to process and receipt charitable gifts and donations. The Donation Processing Administrator responds to inquiries and requests with proficient customer service, tact, sensitivity, confidentiality, accuracy and attention to detail and/or refers inquiries or requests as appropriate. This position works in collaboration with other members of the University Relations team to ensure donors to University receive accurate and timely follow up and acknowledgement of their contributions.

The Donation Processing Administrator operates efficiently, effectively and collaboratively in a fast-paced environment with multiple and sometimes competing deadlines and priorities. Tasks are varied with average to above-average complexity and high consequence of error. Discretion and professionalism is required as this position occasionally deals with sensitive and personal matters. The work in this position is diverse and complex in nature and requires a good understanding of the operations of University Relations, strong organizational skills as well as understanding of accounting principles, institutional and CRA guidelines and the Income Tax Act with respect to charitable gifts. The Administrator provides administrative support primarily related to the purposes of processing charitable gifts and donations received by the university as well as other activities associated with the University Relations gift processing unit.

University Relations is responsible for institutional advancement programs (alumni relations, communications and marketing, and development), and as such is dedicated to supporting the related needs of all colleges, units and the university as a whole. University Relations is comprised of specialized teams that work together as an integrated team to ensure that the University of Saskatchewan has the reputation, relationships and resources necessary to take its place among the most distinguished universities in Canada and the world. More than 100 advancement professionals and support staff work in UR offices located throughout campus such as at the Thorvaldson Building, in colleges and schools and the Peter MacKinnon building. This position is located in the central University Relations office in the Thorvaldson Building.

**Typical Duties or Accountabilities**:

- Efficiently and effectively process charitable gifts and donations received by the University of Saskatchewan.
- Review incoming donations and enter all required information accurately into the Engage CRM database (this includes but is not limited to gifts received by mail, in-person, online or telephone, as well as gifts-in-kind);
- Review batches of charitable gifts data as they have been entered to ensure correctness;
- Ensure proper processing and receipting of gifts occurs, and reconcile this activity with the University’s Unifi System;
- Ensure appropriate procedures are followed in accordance with gift acceptance and donation assessment guidelines;
- Export gifts and donations from Engage CRM into Unifi;
- Ensure financial transactions related to gifts and donations are tracked and reconciled appropriately in Unifi;
- Perform all administrative processes related to gifts, including producing and distributing tax receipts and acknowledgements;
- Investigate inconsistencies as appropriate to ensure gifts and donations are properly processed and receipted;
- Create new accounts in Engage CRM (both suspense and FSD items) as appropriate;
