- This role is responsible for hands-on processing of complex payroll and financial information in compliance with corporate policies and statutory requirements; thus ensuring timely and accurate payment to all BCAA employees.
Key Responsibilities:
End-to-end Payroll Processing & Administration
- Process full-cycle union and non-union salary and hourly (union/non-union) semi-monthly payroll
- Process Board of Director Payments quarterly
- Remit payroll deductions through the payroll system
- Resolve time-entry issues and assist with time entry as required
- Verify and process new hire information
- Review and ensure timely reporting of all payroll withholding tax payments to appropriate and federal agencies.
- Process terminations, final pay cheques and ROEs (WebROE)
- Set up employee profiles including pay, deductions, and time entry processes
- Review payroll documentation for accuracy through audit reports; making necessary adjustments, and obtaining necessary approvals
- Check for and report on anomalies and patterns in data
- Maintain accurate payroll records and employee files
- Performs electronic and paper filing and maintains accurate records
- Report earnings to WCB for employees on leave
- Annual Vacation Carryover processing and payout
- Work with Benefits Specialist and Health and Safety Specialist on accurate reporting in return-to-work cases
- Prepare documents for retention - payroll register, billing, employee files; complete with destruction dates
- Look for opportunities to streamline & innovate (improve and/or reduce) work processes, inform stakeholders of risks and opportunities; recommend and implement on approval
- Documents processes and contributes to documentation and procedures
- Provide training on payroll processes
- Remaining current with changes in applicable legislation and regulatory matters
- Ensure compliance with legislation, collective agreements, and BCAA policies
- May perform other related and ancillary duties as assigned (special projects and initiatives)

Management of payroll data:

- Create and update employee records including personal data, job information, salary and account information, benefits enrollment and payroll data such as general deductions, additional pay items, direct deposit records, and income tax information
- Accurately prepare, review, and enter pay related items within Payroll systems
- Perform complex payroll calculations (e.g. retroactive payments, maternity/parental leaves, payroll adjustments) and update related systems as needed
- Adjust earnings, deductions and arrears balances on payroll system as required
- Produce and analyze audit and error reports each pay cycle; coordinate any necessary corrections with team members and internal stake holders
- Coordinate production of pay advices, cheques, payroll registers and other key reports
- Process pay reversals and payroll adjustments to maintain accuracy and completeness of employee payroll records
- Coordinate annual increases, changes to the collective agreement, payroll legislative changes, system changes.

Internal Customer Service
- Respond to general inquiries from employees and managers on payroll and benefits rules, entitlements and specific payments or deductions made through the payroll processing system. Provide statistical and other payroll-related information to auditors and people managers.
- Respond to employee/vendor inquiries and requests regarding payroll/benefits matters
- Promoting awareness of Payroll processes and presenting on specific practices (i.e. during new hire orientation)
- Update, maintain and post resources or other Payroll related documentation for communication to all employees on the intranet.
- Respond to employees' payroll inquiries and requests in a professional and timely manner
- Provide coverage for Payroll team members to cover absences
- Provide training for Time and Attendance

In addition to general payroll processing activities, each member of the Payroll team is expected to carry specific areas of accountability such as:
Systems Administration and Analytics
- Assist with testing for upgrades, updates and implementation of functionality for Payroll and People & Development systems (Workday HRMS)
- Produces accurate reports to external stakeholders
- Review and validate HRIS data and reports
- Prepare requirements for report requests from People & Development to IS resources
- Create Policy Management documents (Compliance Agreement)
- Support IS through the creation of scripts for changes within HRIS
- Run and distribute rout
