**Department/Faculty Summary**

Facilities and Operations is a diverse portfolio responsible for a range of essential services and work across our five campuses.

From managing capital construction and renovations, providing utilities and energy management, to delivering student and campus services, Facilities and Operations works behind the scenes to make the university a great place to study, learn and work.

**Position Summary**

The primary duties of the Administrative Support is to support the activities and roles of the Facilities and Operations team members. In this role, the Administrative Support is expected to assist in managing collaborative and participative processes in the department. As a position within the shared administrative services model, this position provides mid-level administrative support to business units within Facilities & Operations and provides administrative backup support to the team members within Administrative Services. There is significant interaction with guests, various departments throughout the portfolio as well as external partners and stakeholders.

**Duties**
- Provides administrative support to the Facilities and Operations staff assisting in their daily activities;
- Liaise with guests and stakeholders;
- Evaluates, redirects, or responds to requests, inquiries, and complaints;
- Screens and prioritizes incoming calls, mail, meeting requests, monitors social media channels
- Manages access to their calendars, prioritizing meetings, events, other activities;
- Works with the team to help draft documents; routine communications; presentations; compiles presentation materials for internal and external use;
**Minimum Qualifications**
- High School Diploma, supplemented by secretarial/administrative and computer courses.
- Strong skills in various Microsoft Office and other office software that can include Word, Excel, PowerPoint, Google Suite, etc.
- Preference for supplemental training in advanced Word and Excel.

**Preferred Qualifications**
- Minimum of 2 years of related experience, preferably in a post-secondary environment.
