**The Role**

The Foundation’s Coordinator provides administrative, granting, and governance support for both the Foundation Team and the Board of Directors. The coordinator reports to the Grants and Operations Manager and works closely with the Director of Granting, Executive Director and other Foundation colleagues.
- The actual duties and responsibilities, position, title, and reporting relationship of the Coordinator may be changed by the Foundation from time to time to meet its evolving business needs. _

**Salary Range: $52,000 - $78,000 per year, plus 7.5% STIP**

**Key Responsibilities**

**_ Grants Management _**
- Manage a defined portfolio of discretionary grants ensuring Board members, grantees and team members are updated as required.
- Communicate with Board members and grantees using the highest level of professionalism and discretion.
- Provide research support surrounding topics or organizations of interest.
- Perform due diligence with respect to current and potential grantees ensuring they meet the Foundation’s granting guidelines.
- Manage workflows for the portfolio to ensure proper processes are in place and followed. This will include drafting proposal/approval forms, managing grant voting, setting up payments, drafting grantee communications, and ensuring accurate record-keeping in both SharePoint and SmartSimple (the Foundation’s database).
- Provide qualitative and quantitative updates on the portfolio for bi-annual Board meetings and internal meetings as required.
- Manage unsolicited requests for Foundation funding including recording request details, preparing monthly summaries for Board member review, and communicating with inquiring organizations to inform them of the status of their request.

**_ Governance Support_**
- Support the Director of Granting and Executive Director in meeting administrative needs related to the Foundation’s governance.
- Update the Director of Granting on policy maintenance (incl. mandates, terms and position descriptions), liaising with the Foundation’s Secretary as required.
- Assist in the development of governance materials for bi-annual Board Meetings. This will include researching governance trends and upcoming Foundation requirements.
- Coordinate or assist with additional governance tasks as required.

**_ Administration_**
- Support general administrative needs including the drafting and editing of correspondence and the preparation of documents for meetings.
- Coordinate or assist with additional administrative tasks as required.

**Qualifications**
- 2-5 years of similar or relevant experience with a preference for grants management and/or working closely with Board members
- Works well independently and within a team environment
- Excellent written and oral communication skills with exceptional attention to detail
- Experience building relationships with Board Directors and grantee organizations considered a strong asset
- Excellent skills with Microsoft Office suite and particular experience with PowerPoint creation, desig
