**Summary**:
**Responsibilities**:

- Develop and coordinate formal RFP/RFI/RFQ/EOI response documents from start to finish per DMC’s official Bid Process.
- Coordinate/facilitate proposal milestone meetings and review/approvals (strategy, kick-off, review meetings) to track deadlines, ensure the accuracy of the information, and ensure all stakeholders are engaged and aligned.
- Ensure RFP compliance by composing diverse proposal sections, conducting reviews, and performing quality document controls.
- Prepare proposal content by researching, analyzing, and producing findings for market analysis, including potentials and risks in mining and exploration markets.
- Manage proposal deadlines through effective time management, establishing priorities and target dates for information gathering, writing, review, approval, assembly, and distribution.
- Ensure milestones are achieved while taking the initiative to set realistic deadlines.
- Collaborate, coordinate, and edit all information from the various departments so the submission has a focused, innovative, uniform, and coherent corporate brand and vision.
- Liaise and communicate effectively as the primary point of contact with all internal and external stakeholders to gather and update information, including operations, finance, and technical experts.
- Meticulous editing of proposal documents with a keen focus on style, grammar, and common voice.
- Active promotion of department processes and procedures within and throughout the company.
- Manage and maintain proposal and marketing database.
- Build relationships and drive communication processes with prospective clients.
- Provide regular status updates on proposal activities to the leadership team.

**Qualifications**:

- Post-secondary diploma in Office Administration, Business Administration, Marketing, or a related field.
- Minimum five (5) years of administrative experience in a fast-paced environment.
- Proficient in Microsoft Office, SharePoint, and Adobe Pro.
- Previous experience in proposal coordination.
- Experience with Adobe InDesign is considered an asset.
- Bilingualism (English/French/Spanish) is considered an asset.
- Strong organizational skills that demonstrate high accuracy and attention to detail.
- Ability to handle frequently changing priorities with a positive attitude.
- Ability to work collegially under strict deadline pressure and handle multiple assignments.
- Ability to learn quickly, demonstrate critical thinking, and make situation-appropriate decisions using sound judgment.
- Experience working in a fast-paced, large company environment.
- Excellent task coordination skills.
- Strong written and verbal communication skills.
- Excellent proofreading and editing skills.
- Ability to work collaboratively with cross-functional teams.
