As part of the Human Resources team, the Human Resources Administrative Assistant will perform a variety of administrative and clerical duties to support the department. Some functions will be specialized and others providing support. With exposure to all aspects of Human Resources, the Human Resources Administrative Assistant will be responsible for the administration of benefits, onboarding, offboarding, employee relations, human resources information, health and safety as well as support the Human Resources team with various human resources initiatives.

**Responsibilities**:

- Assists with the onboarding of new team members and the administration of team member job movements within the Organization via job postings, temporary transfers, etc. including preparation of supporting documentation
- Assist with recruitment, including job postings, compiling resumes, scheduling interviews, performing reference checks
- Assist with employee relations issues by investigating questions and/or concerns
- Organize, schedule and lead training sessions as required and conduct the new employee Human Resources orientation training
- Assists the Human Resources Team by providing administrative support for programs within the Organization, including but not limited to recruitment and selection, vacation/attendance tracking, health and safety, team member feedback, benefits, recognition, employee relations, etc.
- Administers and track probationary and annual performance evaluations for hourly team members
- Completes all payroll related documentation and submits in a timely and accurate manner
- Responsible for timely and accurate maintenance of employee records and Human Resources filing systems, monitor retention of documentation and disposition, records and tracks disciplinary actions, incidents, etc. for employees
- Generate employment confirmation letters, layoff and recall letters, reports and forms, posting notices within the Organization, assist with distribution of notices, administering change forms, distribution and ensure accuracy of employee benefit enrollment forms
- Assist the Human Resources Team in the administration of medical claims (LTD, WSIB), early and safety return to work program, as well as administer employee leaves of absence
- Assist the Human Resources Team with the administration of layoffs, resignations, and terminations
- Assist with the preparation of reports, presentations, and other documentation as required
- Maintain all employee files, payroll/benefits documents and ensure compliance with all relevant laws and regulations.
- Maintains several Organizational communications such as Team Member Central board, Health and Safety board, company contact directory, new employee announcements birthdays, team member newsletter, etc.
- Lead the coordination of employee recognition events and awards as required including, but not limited to the Holiday lunches and celebrations
- Adhere to all company policies and procedure
- Perform any other duties that may be superficially or generally assigned

**Additional Responsibilities**:

- Ability to work with minimum supervision and initiate actions within the scope of authority
- Maintain standards of confidentiality with respect to private information
- Meet standards of compliance for financial and legislated obligations
- Prioritize assignments according to deadlines

**Required Knowledge and Experience**:

- Minimum 2 years of experience in a Human Resources Administrative/Assistant role
- Post-secondary education in Human Resources or combination of training and experience in a Human Resources related field
- Certified Human Resource Professional Designation is an asset
- Well versed in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint etc.)
- Work experience in an administrative function, preferably in human resources with payroll knowledge, and some familiarity with industrial manufacturing operations and environments is an asset
- Experience with business office procedures and systems, and the ability to process information, analyze data and maintain documentation
- A positive and proactive approach towards solving problems and meeting challenges
- Good communication and interpersonal skills, both verbal and written, to work with all levels of staff in the resolution of problems and administration of human resources activities

**Effort**:

- Frequent periods of mental and visual concentration during computer work and analyses
- Frequent interruptions from employees and other contacts requires the ability to juggle several priorities and refocus quickly
- Involves some walking throughout plant
- Volume of work is steady with periods of high demand and time pressures

**Working Conditions**:

- Most work is carried out in a typical business office with occasional visits to the shop floor which requires wearing personal protective equipment
- Exposure to elements such as dust, temperature and noise during time spent on shop floor
