**Overview**

The Project Coordinator will be responsible for supporting the daily activities of a construction project by providing administrative assistance and project documentation.

**Duties & Responsibilities**
- Assist Project team in overseeing projects from beginning to project closure (project reviews, project audits, handover, final closure, etc.)
- Coordinate and prepare job packages including permits & materials
- Project documentation management and distribution
- Assist with compiling record drawings and maintaining files for completed projects
- Accountable for effective collaboration and communication with and between stakeholders
- Work closely with a project planning and preparing tender documents
- Review Request For Information and purchase orders;
- Arrange site check and take meeting minutes as required;
- Assist in material control, inventory;
- Review all project documents, for comleteness and accuracy;
- Develop construction schedule with input from field staff and management staff
- Preparing trade documentation management (LOI’s contracts, statutory declarations, WCB clearance and insurance)
- Create purchase orders and invoices
- Provides support to the project managers in regards to change orders;
- Assists in contacting trades and supplieres regarding invitations, pricing, addenda and tender/bid closing;
- Assist in project startup, building permits, construction worker arrangement;
- Assist in tender preparation, budgetting, estimating, project schedules, progress and monthly reports;
- review and comment on design/construction drawing;
- Arrange trade contractor site meeting and prepare RFI's, invoices and control the document process;
- Verify the accuracy of change orders and ensures change orders are signed by client;
- Assist completion requests and Tenant Occupancy dates and Project close out;
- Ensure all contractual issues are resolved and dealt with in a timely manner;
- Coordinates and directs subtrade contracts including a scope of work review;
- Prepare sub-contract with trades;
- Assist manage internal or external contractors or trades;
- Primary liaison with site superintendents and sub-trades;
- Perform other duties and responsibilities as required.

**Qualifications, Experience & Skill Set**
- Driver's license
- Understanding of construction documents and the ability to assist construction document review
- Kowledge of construction costs and budgets,
- 2 years’ experience as project administrator/coordinator in a construction industry or completion or partial completion of college or diploma related to construction
- Strong written and verbal communication skills
- Ability to show discretion with confidential and/or personal material
- billing/invoicing experience is considered an asset
- Ability to work well under pressure and meet deadlines
- Ability to multitask and prioritize workload, handling various job responsibilities at once
- Ability to work independently as well as a member of a team
- Professional interaction with various position levels from front line to executive both internal and external to the organization
- Proficiency in MS Office (Word, Outlook, Excel and PowerPoint)

**Job Types**: Full-time Mon-Fri, Permanent
