Reporting to the Sr. Manager, Westek Truss (or designate), the Office Administrator at Westek Truss Systems will ensure employees have the proper support to work efficiently. This unique roll focuses on supporting the sales and design teams, including project specific administrative functions. Combining knowledge and experience from a few key office administrative roles, this exciting opportunity is not for the faint of heart. To be successful in this role requires the ability to pivot effortlessly from supporting estimating, to data entry, to assisting with construction design. The sky is the limit if you bring the potential

WORKING CONDITIONS
- Monday to Friday, 37.5 hours/week.
- Occasional non-standard work hours or overtime as business requires
- Office environment
- Busy, high volume (but some days are super chill)

JOB TYPE

Based out of Westek Truss Systems Ltd., office

KEY ACCOUNTABILITIES
- Organizational skills to assist multiple employees at one time with various tasks
- Excellent with managing and tracking information on estimates and providing general administrative support for construction projects
- Familiar with reading and understanding construction plans and specifications
- Coordinate with contractors and suppliers
- Work closely with design and sales teams
- Advanced level Microsoft word and excel
- Processing and filling invoices
- Support accounting administrator by learning components of this role and able to provide coverage during vacation schedules
- Support the scheduling coordinator by learning components of this role ad able to provide coverage during vacation schedules
- Overseeing office supplies and services, including restocking supplies, organizing desks and equipment for new employees
- Knowledge of basic computer programs and basic typing abilities
- Communication skills, like having a pleasant demeanour and the ability to work with various types of personalities within an office setting
- Attention to detail to submit work or send communications without error
- Adaptable and flexible to adjust priorities for whatever task is most important at any given time
- Ability to handle sensitive information
- Keep project information updated within proprietary software
- Involved with project schedules

Plus - may perform additional responsibilities as assigned

REQUIRED QUALIFICATIONS AND COMPETENCIES
- Post secondary education in related industry preferred
- Minimum 3-5 years in an office environment
- Superior spoken and written communication skills, able to confidently and effectively communicate with internal and external customers
- Strong organizational skills with an excellent ability to work well under pressure and mitigate unexpected situations calmly and effectively.
- Personable, lead by setting a positive and professional example.
- Knowledge of truss manufacturing and building construction preferred but not required
- Knowledge of truss design preferred but not required
- Technical construction knowledge preferred
- Class 5 drivers’ licence
- Able to commute to Westek Office
- Tenacious character
- Sense of humour

Pay: From $50,000.00 per year
