**GROUP COORDINATOR**

The Group Coordinator will be responsible for overseeing the implementation of custom-built international school group programs across Canada. Group Coordinator will work with development of Canadian based programs for international students mainly from Japan and some from LATAM and other parts of Asia. This process involves elements within the office and travel to various locations as required. The focus of this job is on the prep and operations of Groups year-round. The Group Coordinator must have excellent computer skills including a full understanding of Excel, along with excellent language skill in English and Japanese. Valid Full Driver’s License, confidence driving a car as well as status to legally work in Canada.

**Major Duties and Responsibilities**:
I. Group Co-ordination
- Preparation of programs upon confirmation
- Plan and make reservation/bookings for all necessary program elements assigned to you as the Group Coordinator for each specific program. This may include attractions or transportation booking, hiring contract staff, settling school program with local high schools, etc.
- Liaise with educational/travel partner agencies to finalize itinerary
- Hire and train contract staff required for each specific program
- Liaise with all program parties (local school, partner agents, suppliers, adult escorts, chaperones, etc) to ensure all goals are met for program arrangements
- Be available and flexible to be present in the community throughout the program
- Flexibility in work hours/extended hours necessary
- Mediate any conflicts or challenges that may occur between parties on a program
- Monitor the progress of the program and file any necessary incident reports
- Follow up with partner agencies, Student Care Team and onsite contract staff prior to and during program as well as after departure

II. Accounting
- Liaise with Accounting Team on accounts payable and accounts receivable pertaining to each group
- Arrange for all payments to suppliers for program elements
- Review and report final program expenses for each group

lll. Quotations - on an as need basis
- Receive and respond to quotation requests by partner agencies
- Develop program itineraries reflecting requests from clients and relevant educational themes
- Generate pricing that is consistent and competitive
- Contact suppliers such as bus companies, activity/attractions and hotels to gather service pricing as required
- Continue to liaise with partner agent on adjustments to initial quotation proposal - contents, schedule adjustments and price negotiations
- Maintain a rigorous system for follow-up on status of completed quotes

IV. Sales Support
- Liaise with partner agents and help them learn and understand MLI’s programs
- Provide language support to the sales teams on calls and during meetings.
- Designated duties as assigned for marketing or sales purposes
- Assistance in designing or attending specialized familiarization tours profiling new towns or products for new or current clients

**Skills / Qualification Required**:

- Valid Full Driver’s License in Canada
- Confidence and competence driving a rented vehicle on your own
- Status to work legally in Canada - if working visa, the validation date at least 2+ years
- Bilingual in Japanese & English
- Computer knowledge and skills (Word, Excel, Powerpoint, Outlook)
- General knowledge of international business procedures and customs
